Purpose

In support of regional and business unit leadership, oversee the efficient and effective administrative operations processes to ensure profitable operations of business units within a region.

Responsibilities

Leadership and Direction

  • In conjunction with regional and business unit leadership, provide oversight and guidance to Branch Managers within a business unit including developing strategy, budgets, staff, and project deliverables.

  • Provide oversight and direction for specific business processes or functions.

  • Provide effective leadership, aiding Branch Managers in developing and maintaining positive and productive work environments with customers, clients, co-workers, and supervisors.

  • Review work produced by administrative staff for quality assurance.

At the Operational and Company Level

  • Assist Branch Managers in developing and implementing effective systems for improving internal and external quality, cash flow improvements, and meeting business plans.

  • Develop recommendations and alternative solutions for review at the Business Unit / Regional management level.

  • Assist with the marketing of the firm’s capabilities to establish new clients and enhance relationships.

Do the Work

  • Work with divisional, regional and business unit leadership in creating and maintaining accurate reports.

  • Adhere to and enforce established policies and procedures and recommend new and/or modified policies and procedures as needed to improve operational management systems, processes, and best practices.

  • Assist business units in investigating, documenting, communicating, reporting, and resolving issues impacting prompt payment of invoices and/or disputed items.

  • Working closely with Branch Manager, identify operational deficiencies and implement plans for improvement.

  • Ensure that consistent and accurate records are kept, and reports are processed in a timely manner.

  • Oversee administrative processes for correspondence, including cost proposals and change orders.

  • Develop and manage key performance metrics for reporting revenue projections and collections.

  • Develop and implement collections strategies to drive results and reduce past due balances.

  • Assist with large customer and/or complex collections matters and dispute resolution.

  • Analyze and interpret financial and operational metrics and develop recommendations.

  • Lead weekly / quarterly management meetings, calls, and ad-hoc strategy discussions.

  • Document procedures and develop training guides to provide cross-team learning opportunities for region.

  • Mentor, motivate, train, and develop respective administrative staff to ensure the highest level of performance and promotability.

  • Develop, plan, and coordinate opportunities for team building, team retreats, individual and team recognition, and other events throughout region.

Qualifications

  • Bachelor’s degree in finance, business administration or related discipline preferred or commensurate relevant work experience.

  • Ten or more (10+) years of experience in an administrative role, including a minimum of five (5) years administrative experience in the land development / AEC industry or civil engineering industry

  • Strong Microsoft Office skills, with advanced Excel skills.

  • Knowledge of financial practices and report generation required.

Physical Demands and Working Environment

  • Primarily indoor professional office environment which may include bright/dim light, noise, fumes, odors, and traffic.

  • Mobility around an office environment.

  • Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • Primarily local travel during the business day, although some out-of-the-area and overnight travel may be required according to the needs of the business.

  • Occasional lifting or carrying up to 20 pounds.

  • Occasional pushing or pulling up to 20 pounds.

  • Occasional reaching outward or above shoulder.
