JOB SUMMARY
As Documentation Specialist you will be required to collaborate with multiple teams across the business for the development and delivery of high quality and accessible documentation. The role involves training and communicating best practise to the Business Administration team and wider UK Business. You will oversee and coordinate large documentation requests requests for the UK Business and work with the Business Support Team Leaders to resource requests and ensure deadlines are met. This role will be responsible for allocating work and tasks to the Business Support Team and you will be expected to monitor quality of teams output and ensure tasks are delivered on time.

Provide guidance and support to colleagues on large documentation projects.
Work closely with Business Excellence to ensure relevant documents and templates are updated on BMS and the WSP Intranet.
Regularly engage with stakeholders to promote the services of Business Administration through effective communication.
Ensure effective communication regarding business-critical changes to WSP Documentation.
Support the development, testing and deployment of WSP templates.
Quality check documents and work to ensure they meet a high standard in line with WSP brand guidelines.
Focus on promoting and maintaining a culture of continuous improvement.
Support Business Support Team Leaders to allocate work and tasks to the team working from Enforma.
Demonstrate positive, proactive people skills to deliver Training to the Business Support Team on subjects such as Accessibility, Word, Template Training and Proof Reading.
Support the Business Support Manager to ensure that the Business Support Team adhere and are kept up to date with relevant policies and procedures, as well as technology changes, to be able to deliver an outstanding client experience.
Assist in identifying potential opportunities where Business Administration can offer support.
Proactively contribute to ensuring a safe and healthy working environment.
Extensive experience in providing high quality administrative support.
Strong verbal and written communication skills, with excellent attention to detail.
Advanced working knowledge of Microsoft 365, including Word, PowerPoint and Excel.
A good working knowledge and understanding of Adobe InDesign and wider Adobe Creative Apps is desired.
Demonstrable experience of producing documentation and collateral to a high standard, maintaining consistency with language, formatting and brand.
Ability to work independently and collaborate with others, providing support to other colleagues during times of heavy workload and absences.
Ability to work well under pressure and use own initiative.

Excellent organisational and interpersonal skills with the ability to meet deadlines.
Possesses a professional and confident manner.
