Dartmouth Health Program Coordinator Senior - Continuing Nursing Education in Lebanon, New Hampshire
Overview
Oversees and coordinates planning and logistics for continuing nursing education (CNE) learning activities. Works with others to manage all aspects of activity planning, execution, evaluation, final financial accounting and documentation. For accredited programs, ensures that requirements are met and documented.
Responsibilities
Establishes and manages activity requirements, budget, timeline, and checklists. Meets with stakeholders to manage logistical arrangements. Serves as the point of contact for activity logistic and administrative matters for faculty/speakers and their assistants.
For accredited programs, learns and maintains a working knowledge and competency of accreditation regulations. May assist with documenting compliance for activities in the activity accreditation file. Assists with gathering, preparing for and executing accreditation self-studies and reports.
Prepares income and expense budgets for activities, breakeven analysis (if needed), and final accountings for all activities. Reviews invoices for accuracy and processes payments for program expenses to proper account. Prepares all faculty honoraria payment and travel reimbursement paperwork and follows up on payment documentation in a timely fashion.
Gathers activity information for publicity mailings, calendars, and website advertising, and prepares final format, in consultation with stakeholders, for preparation by an internal or external designer and external printer. Proofreads all publicity materials for completeness and accuracy, and is responsible for final edit and accuracy of all materials. Works within CLPD, with other departments and/or outside vendors to produce print materials and email marketing campaigns, and manage budgetary implications.
Develops demographic information for direct marketing to target audience, obtain mailing lists through internal and external sources, and manages budgetary implications. Develops mailing lists, as needed.
Processes and confirms activity registrations of attending participants. Monitors registration applications to ensure all requirements are met. Generates standard letter of invitation/acceptance and thanks. Secures adequate staff to manage the on-site registration process, including the collection of fees. Assumes responsibility for verification of attendance. Prepares registration reports, as appropriate.
Provides supplemental support for the management of commercial support funding requests for activities from initial request through reconciliation.
Communicates with persons inquiring about activities and advises on application/registration procedure. Composes routine replies, transmits requested materials, communicates readily available information, etc. and provides outstanding customer service to all clients, learners and others.
Attends events and takes effective steps to solve any problems (registration, logistics, and technology) regarding program details as they arise to ensure a smooth-running and successful event.
Interacts with faculty/speakers and educators in a client-service fashion to accommodate their schedules and needs.
Maintains storage and disposition of activity planning files. Ensures security and confidentiality of sensitive information and material.
Perform other duties as assigned.
Qualifications
Bachelor’s degree with a minimum of 1 year of applicable experience or the equivalent combination of education and experience required.
Strong aptitude for finance and budgeting, as well as organizational event planning knowledge.
Excellent customer service, verbal and written communication skills essential.
Must be a highly organized self-starter with the ability to manage multiple projects simultaneously under numerous academic and administrative deadlines.
Strong ability to prioritize is essential as is the ability to adjust to changing demands and work under pressure.
Some financial budgeting and management experience required with accuracy and meticulous attention to detail essential.
Excellent interpersonal skills with ability to work collaboratively with a team or independently with little supervision.
Strong computing skills required with extensive experience with the Microsoft Office suite of products (Word, Excel, PowerPoint, Outlook). Ability to maintain data accurately. Excellent keyboarding and proofreading skills required.
Must be adept with using audio-visual equipment including audience response systems or able to show acuity with similar learning systems.
Must be able to lift and carry educational materials and audio-visual equipment up to 50 lbs.
Must be able to work a standard but flexible work week schedule with occasional evening and weekend hours to attend activities scheduled during these periods.
Required Licensure/Certifications
Yellow Belt or attain within one-year in role.
Valid driver’s license with a clean driving record required in accordance with D-H’s Driver Disqualifications Guidelines.
