Cardiac Implantable Electronic Device (CIED) Clinic Manager

The Dartmouth Hitchcock Device Clinic (DHDC) resides within the Heart and Vascular Center at Dartmouth Hitchcock Medical Center managing the devices of about 2500-3000 patients. The DHDC coordinates the care of patients as they transition from initial device implant, to discharge and subsequent outpatient device life cycle follow up. The DHDC comprises administrative office space, clinical workspace, and 4-5 dedicated staff which includes the device technician(s), device registered nurses, and the rotating advanced practice provider. The clinic manager is responsible for over-seeing the day-to-day operations of the DHDC and works closely with the Medical Director of the device clinic, Nurse Manager of the DHMC Cardiology Clinic, in a triad structure, to provide seamless care to device patients together with nursing, associate provider and administrative staff.

Responsibilities

Expectations & Responsibilities

  • Work closely with the physicians, associate providers, device technologists, vendor/manufacturer representatives, and nurses of the Heart and Vascular service at Dartmouth Hitchcock Medical Center and satellite offices, to coordinate and provide excellent care for cardiac device patients.

  • Assignment of daily clinic work to the DHDC staff; supervise/referee time-clock and leave schedules and vacation and sick coverage.

  • In collaboration with the DHDC Medical Director and DHMC Cardiology Clinic Nurse manager, evaluates performance of staff members, including coaching and performance management processes.

  • Assist in clinical schedule creation – including RN and Associate Provider staff. This requires coordination with the lead Associate Provider for Cardiac Electrophysiology and Nurse Manager of DHMC Cardiology Clinic.

  • In collaboration with the DHDC Medical Director and DHMC Cardiology Clinic Nurse manager, manages the hiring process.

  • Assist in developing protocols for appropriate documentation for device in-clinic and remote follow up in the electronic medical record, ensuring that this done in a timely and thorough fashion.

  • Assist in managing device recalls/advisories.

  • Assist the DHDC Medical Director in education, quality and safety control, and quality improvement initiatives.

  • Manage the tracking and cleaning protocols for interrogation equipment, assist device vendors in updating and keeping adequate supplies of programmer supplies.

  • Together with the DHDC Medical Director, assist in creating new evidence guided workflows and efficiencies.

  • Collect survey responses from patients to include in quality and safety improvement measures.

  • Assist the DHMC Director of EP Services Director and DHMC Ambulatory Cardiology Medical Director in the implementation of new future CIED programs both internally and at times collaboratively

  • Assist in curation of Device Clinic Data as appropriate in support of academic research endeavors by Electrophysiology faculty and fellows

  • Collaborate with other Device Clinic teams in the Dartmouth Health system (hospital facilities, ambulatory clinics, satellite locations, affiliates) to standard care processes, reduce variation, and develop more seamless care experiences for device patients, providers, and teams

Necessary Skills

  • Ability to interrogate and reprogram devices from all major vendors. Should be able to perform basic troubleshooting and reprogramming of devices, with assistance as needed from Electrophysiology or Device Vendor staff.

  • Knowledge-base to provide education/teaching to patients and families re: device care and follow up

  • Ability to navigate and manage on-line device portals from the major device manufacturers and third parties (eg. ‘Geneva/GoBio’)

  • Good computer skills using the EMR and standard office software (eg Outlook, Excel etc.) to co-ordinate appropriate training, department meetings and supervise the scheduling of leave/time away to ensure adequate staffing, as well as for longitudinal metric reporting.

  • Associate Provider (AP) (PA/ARPN)

  • Certified Cardiac Device Specialist (CCDS) or equivalent qualification (preferred, should be a goal)

  • Pervious cardiac device management experience is preferred

  • BLS (ACLS preferred)

  • Area of Interest:Associate Provider;
