Dartmouth Health Administrative Assistant (hybrid) - General Ambulatory Services in Lebanon, New Hampshire

Overview

As a member of the General Ambulatory TAP (Throughput & Access for Patients) team you will perform a variety of administrative duties as well as project plan management activities. The TAP team is engaged in understanding how the organization can support outpatient clinics to improve throughput and access by looking at the services each clinic provides, as well as the needed resources such as space, staffing, equipment and the like.This role provides coordination of these projects including scheduling and meeting details as well as the preparation/distribution of project status reports. May conduct special projects of an administrative nature in support of currently engaged ambulatory clinics. Serves as a resource to TAP project managers and ambulatory department staff.

Responsibilities

  • Screens and assesses relative priorities of correspondence, inquiries and projects, organizes systems of distribution and review of these items to ensure proper flow through the office.

  • Answers correspondence manages appointment scheduling system for administrator; types from rough copy.

  • Composes drafts of selected correspondence, meeting slide, and/or finishes documents.

  • Develops and maintains administrative office procedures and systems including filing systems, scheduling, drafting and document processing systems and distribution/routing systems.

  • May conduct special project coordination of an administrative nature. Such projects may be carried out under general guidance of the GAS Director or Project Managers.

  • Serves as resource person who is able to direct persons and inquiries, and provide information.

  • May monitor departmental budget accounts and keep administrator informed of expenditures.

  • Supports and coordinates a wide scope of projects.

  • Performs project coordination and documentation management responsibilities to include status updates.

  • Develops and maintai a system within SharePoint which coordinates all departmental management projects.

  • Provides administrative support to the department to coordinate and facilitate TAP project management operations.

  • Responsible for meeting arrangements, agendas, meeting minutes, reports and maintenance of administrative files.

  • Performs other duties as required or assigned.

Qualifications

  • Associates degree in Secretarial Science or a related field with 1 year of experience, (one year of which is supporting a managerial position) or the equivalent combination of education and experience required.

  • Computer skills required.

  • Ability to work independently, assess priorities and organize workload.

  • Excellent communication skills required.
