Summary

It is the responsibility of the Executive Assistant to provide administrative support to executive level team members. Professionally interacts with customers, team members, and third-party vendor/partner representatives to provide the highest level of service excellence.

This position will support our Agency Graphics Operations team and is eligible to work a remote schedule.

Essential Duties & Responsibilities

  • Remain up to date on all key issues, tasks, results, and efforts required of the executive and the company and provide support to ensure all are achieved on time or ahead of schedule and in a professional and quality-focused manner.

  • Serve as the initial phone contact for the department executive and handles or distributes calls.

  • Maintain highly confidential information and files and is responsible for time sensitive material.

  • Prepare routine and complex correspondence, reports and presentations often using the most advanced office technology including word processing, graphics, and spreadsheets.

  • Research, analyze, and compile data and figures for presentations and proposals including financial statements.

  • Compose speeches and interacts with clients on behalf of the executive.

  • Organize and maintains file system and files correspondence and records.

  • Maintain calendars, schedules appointments and coordinates arrangements for meetings, conferences, and travel.

  • Prepare agendas, reserves, and prepares facilities, and records minutes of meetings.

  • Transcribe dictation often covering subjects of a highly technical and/or confidential nature.

  • Prepare outgoing mail and correspondence, including e-mail and faxes.

  • Order and maintain supplies and arranges for equipment maintenance.

  • Participate on various committees and task forces as assigned.

  • Organize and expedite flow of work through the assigned team member’s office.

  • Perform other duties as assigned.

Education & Experience

  • High School Diploma or Equivalent with relevant work experience required.

  • Prior experience supporting an individual(s) at the executive level required.

  • Have a strong working knowledge of Microsoft Office Suite as well as the proven ability to prepare executive level presentations, memos, and general correspondence.

  • Strong typing skills of at least 70 WPM

  • Review & analyze a wide variety of information and recommend a specific course of action.

  • Strive for continuous improvement by identifying opportunities and assessing risks.

  • Adjust actions, schedules, or timelines in relation to internal or external changes.

  • Analyze problems and alternative solutions and take appropriate timely action to achieve desired business results.

  • Prioritize work effectively and performs work with minimal supervision.

  • Demonstrate accuracy, thoroughness, timeliness, and attention to detail.

  • Ability to apply common sense understanding to assignments or role.
