About the Work Unit

This work unit exists to support and manage the overall administration of the seven units of the Division of Criminal Justice (DCJ) and the Director. This includes the development and implementation of policies and procedures, the coordination of training and educational programs, management of all financial, personnel and human resource matters, the provision of supplies and equipment, website management and all central office functions.

About the Job

This position's main purpose is to serve as the assistant to the Division's Director and perform all related administrative functions required. It is responsible for a variety of high-profile and critical duties in a fast -paced environment. It acts as a first line of contact for the Division and represents the Division in outside community as well as internal Departmental relations. It supports and advises the Director and seven units within the Division with questions ranging from HR and IT issues to travel and fiscal rules.

Key Responsibilities

Prepare, verify and ensure timely preparation and processing of leave forms, personnel action requests (COPS 5 forms), position description questionnaires (PDQs), assistance with new hires, separating, retiring personnel and all other Human Resources services as needed. Assist with preparation of letters of authorization for secondary employment from DCJ staff. Maintain and timely update personnel records for all DCJ staff.

Secure files and maintain confidentiality of this information and all other sensitive matters that arise as a part of this position's duties.

Reconcile leave requests with HR, and update all Unit managers and staff about their leave balances on a monthly basis.

Is an HR liaison serving as a hub for HR related information to all DCJ staff on a variety of HR related topics.

Receive, review, route the incoming mail, emails, telephone calls, faxes and other correspondence.

Independently draft correspondence for signatures; coordinate responses with management and other staff within the Division or other agencies.

Maintain confidentiality of information and other sensitive matters.

Research, gather and coordinate information for reports, presentations, training materials, and other documents.

Serve as a liaison between DCJ and the public for all public inquiries, open record requests, and requests from CDPS Divisions or other governmental agencies for information and assistance from DDCJ and its units.

Maintain databases to support the functions of the Divisions, its units and the Director. These include maintaining mailing lists, membership rosters, personnel files, phone lists, DCJ organizational chart, calendars, leave reporting database, updating information on DCJ and other Units' websites.

Coordinate with unit managers to ensure accuracy and timeliness of all information provided through the website and other communications to the public. Communicate any policy changes related to personnel and IT issues to the Division staff on a timely manner. Maintain the main DCJ website and other unit's websites as needed ensuring the information posted is accurate and timely.

Create, manage and maintain files, processes and procedures for the day-to-day administrative needs of the Director's office and the Administrative Unit. Coordinate training for new employees, organize office moves as needed, and act as a liaison with the Human Resources and Office of Information Technology.

Serve as DCJ liaison with Executive Director's Office on all issues related to building security, maintenance and general Department policies.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

MINIMUM QUALIFICATIONS:

Five (5) years of professional experience in administrative support that included providing executive and/or program support to an individual or a team.

OR

Ba chelor's degree in any field and one year of experience that included providing executive and/or program support to an individual or a team.

WORK ENVIRONMENT

  • This position will work within a hybrid model with a minimum of two days in the office.

CONDITIONS OF EMPLOYMENT

  • Requires successful completion of a background investigation that includes a polygraph exam and fingerprint based criminal history search.
