Robert Half Administrative Assistant in Lakeland, Florida
Description We are offering a contract to hire employment opportunity for an Administrative Assistant in our Lakeland, Florida office. The successful candidate will be tasked with ensuring our company's operational procedures align with legal regulations, specifically, the Florida Statue for HOA. This role is integral to the efficient functioning of our team and requires skills in Data Entry, Email Correspondence, Microsoft Excel, Upload Documents, and Compliance Functions.
Responsibilities:
• Ensure alignment of company's operational procedures with legal regulations
• Update company's web portal with new regulations
• Research, source, and format documents like meeting minutes, bids, agendas, notices, etc.
• Follow up with relevant departments regarding missing information essential for legal requirements
• Upload appropriate documents into portals designed for different HOAs
• Enter violations into the system and ensure the language used is consistent with the company's messaging
• Interpret HOA documents accurately to ensure every violation sent out is correct
• Integrate violations seamlessly into the template
• Assist with other administrative tasks such as printouts, newsletters, and other projects
• Multitask, prioritize and manage time efficiently to succeed in this position. Requirements • Proficiency in data entry tasks with a keen eye for detail and accuracy
• Ability to manage email correspondence effectively, ensuring clear and prompt communication
• Advanced knowledge of Microsoft Excel for creating spreadsheets, charts, and complex formulas
• Experience in uploading documents in various digital platforms, ensuring correct categorization and tagging
• Familiarity with compliance functions, ensuring all administrative tasks meet set standards and regulations
• Excellent organizational skills, capable of managing multiple tasks and meeting deadlines
• Strong written and verbal communication skills for effective interaction with team members and stakeholders
• Demonstrated ability to handle confidential information responsibly and ethically
• Problem-solving skills to address and resolve administrative issues effectively
• Ability to work independently, as well as part of a team, to achieve shared objectives and goals.
