This posting will be used to fill one (1) seasonal, part-time (90%) position at Lake Shetek State Park. Days of work are generally Monday through Friday, 8:00 a.m. to 4:00 p.m., but will include some evenings, weekends, and holidays. Anticipated season dates are April 16th through October 31st each year.

The Office & Administrative Specialist position provides assistance, office management, budgetary, clerical, and customer services for the operation of the park.

Responsibilities include, but are not limited to:

  • Provide office management functions and administrative assistance by evaluating incoming communications over the phone, by mail, and/or email; organize and direct a filing system; monitor office supply and equipment needs; oversee computer operations of Recreation Dynamics system; complete special projects or tasks as needed; prepare, provide, and keep updated office procedures and standards; provide and/or assist with training new office staff.

  • Assist with fiscal management by determining validity of invoices submitted; code invoices for payment from proper account, and process payments; contact vendors regarding inaccuracies in billing procedures; maintain budget records, and provide audit trial for expenditures; advise manager of potential problems in allotment and encumbrance balances; check budget expenditure and encumbrance computer reports for accuracy; calculate and project budget expenditures for supplies and services; maintain and log purchasing card records.

  • Operate and monitor revenue producing facilities by directing employees on proper use of Recreation Dynamics system; prepare revenue receipts using the system for deposits; preserve accountability of goods; monitor forms associated with recording of items; register campers, rent equipment, sell vehicle permits, firewood, and Nature Store items, and schedule group center and picnic shelters.

  • Answer visitor inquiries regarding the park, local attractions, programs, procedures, and regulations; keep current information available in the park office and interpretive center; maintain informational bulletin boards in park office, various park buildings, and on park grounds; respond to in-person, telephone, and email inquiries; keep office clean and neat.

  • Order and maintain an inventory of items to be sold in the park by selecting and ordering merchandise; keep item numbers, bar codes, and prices updated in the system; maintain accurate record of purchases and sales; complete the annual merchandise inventory and audit; set-up and maintain the merchandise display area; provide technical leadership to other staff.

  • Provide timely and accurate information and feedback to management and staff.

Minimum Qualifications

  • Bookkeeping skills sufficient to prepare, maintain, and review purchasing files, reports, and price lists; to calculate, prepare, and issue bills, invoices, and verify accuracy of and prepare invoices for payment, etc.

  • Knowledge of computer software applications sufficient to create spreadsheets from a variety of sources to enter, compile, store, and retrieve data in a variety of reports; to use word processing, spreadsheets, and other software applications to prepare reports and/or modify electronic spreadsheets.

  • Math skills sufficient to maintain complete and accurate financial records, balance and resolve discrepancies, to operate and monitor revenue producing facilities so that appropriate revenue is received, accounted for and deposited accurately for services and goods sold.

  • Knowledge of customer service practices and principles sufficient to identify customer needs, meet quality standards for services, and evaluate customer satisfaction; to provide prompt, courteous, and accurate information to internal and external customers in person, by phone, e-mail, or other written correspondence; to schedule and confirm appointments; to interpret and explain program information; to effectively communicate and elicit information with tact and diplomacy; to provide guidance to other employees on handling problems, etc.

  • Ability to communicate effectively with others sufficient to perform the duties listed above, prepare written responses, present clear and concise explanations of governing rules and regulations, etc., and file and retrieve information based on content, using alphabetical filing practices.

  • Ability to use customer skills on the phone, in person, and online to provide effective general and specialized office support requiring common courtesy, tact, interest in positive problem solving, empathy, and the ability to organize ideas logically.

Preferred Qualifications

  • Two (2) years of general office experience.

  • One (1) year of retail experience that includes working with vendors on resale merchandise.

  • Knowledge of Minnesota State Parks programs, policies, rules, and facilities.

  • Experience using SWIFT.

  • Proficiency with Microsoft Office Suite (Microsoft Word, Excel, and Outlook) and Adobe Acrobat.

  • Knowledge of Reservation/Point of Sale system.

  • Work experience providing supervision or lead work.

Additional Requirements

This position requires an unrestricted Class D Driver’s license with a clear driving record.
