Indian Health Service Administrative Support Assistant (OA) in Kyle, South Dakota
Summary This position is located at the PRSU - Kyle Health Center, in Kyle, South Dakota within the Branch of Administrative Services. The purpose of this position is to perform a wide variety of administrative tasks associated with maintaining and supporting the work performed within the health center. The incumbent will report to the Nurse (House Supervisor) or designee. Responsibilities Receive and route incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication. Enter information into established databases and similar systems which track various administrative activities of the organization. Schedule appointments, coordinate meetings, prepare meeting minutes and/or schedules conferences. Receive calls and visitors from within and outside the health center. Respond to general inquiries and answers questions about the work of the health center and common practices/policies. Purchase supplies and equipment utilizing prescribed purchasing guidelines and procedures; Track expenditures, establish and maintain filing systems; Timekeeping duties; Prepare and process travel documents for staff. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. EXPERIENCE AND EDUCATION REQUIREMENTS GS-05: Four (4) years of education above high school OR one (1) year of specialized experience equivalent to at least the GS-04 grade level performing the following type of work and/or tasks: Create correspondence in proper formats utilizing word processing programs; Maintain manual and electronic calendars to add, delete or change meetings; Serve as a receptionist or point-of-contact for an office; Maintain electronic and hard copy files; Input data into an automated timekeeping system; Input data into an electronic database for procurement of equipment and supplies. GS-06: One (1) year of specialized experience equivalent to at least the GS-05 grade level performing the following type of work and/or tasks: Perform administrative processes such as time keeping; Prepare records for processing; Maintain a schedule for upper management using electronic calendars; Respond to complaints from the public; Compile information from a variety of sources to prepare reports; Prepare and submit supply requisitions according to established rules. GS-07: One (1) year of specialized experience equivalent to at least the GS-06 grade level performing the following type of work and/or tasks: Distribute and review documents for completion to new employees; Assist department head staff on new policies and procedures; Keep an updated log on personnel actions, recruitment, resignations, terminations and promotions. PROFICIENCY REQUIREMENTS In addition to meeting experience or education requirements, applicants for this position must show possession of the following skills, as appropriate. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificate by the Office of Personnel Management local office, or by self-certifying their proficiency.40 words per minute typing speed. Performance test results and certificates of proficiency are acceptable for 3-years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test: 40 words per minute typing speed (words per minute are based on a 5-minute sample with three or fewer errors) Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement. This position has promotion potential to the GS-07 grade level. Promotion to the next grade level is at management's discretion and is based on your demonstrated ability to perform the higher level duties, the continuing need for the higher level duties, and "Regulatory/Administrative" approval.
