POSITION DESCRIPTION
The Sales Coordinator assists the Director of Sales and the Sales Team in obtaining customer satisfaction by performing clerical and administrative duties relating to guest and hotel communications through the sales team as well as light selling duties to small groups and functions. Responsible for catering sales administrative duties which include typing, filing and phone calls as well as assisting with customer inquiries and needs.
Essential Duties & Responsibilities:
• Coordinates and follows-up with clients on all group details and group requirements.
• Coordinates with the appropriate departments in the hotel, resolves issues, complaints and problems to ensure quality product delivery and customer satisfaction.
• Prepares group correspondence (group contracts, group resumes, BEOs) for the Sales Department and oversee distribution to appropriate hotel departments.
• Maintain accurate data entry of group information in the sales and reservations systems.
• Maintain accurate group file trace systems to include timely follow ups related to applicable terms as outlined in the group contracts to include but not limited to receipts of deposits, rooming lists, due dates, cut off dates, commissions and bonus points processing.
• Provide service to clients with confirmed booking contracts in accordance to hotel standards and group contract terms to include timely creation of booking links, monitor rooms pick up, rooming list collection and entry into reservation system, reservation changes, special requests.
• Collects proper payment for groups in accordance with group contract terms and hotel standards.
• Assist the sales team with site inspection rooms and sales materials needed.
• Documents client correspondence using the correct forms/processes.
• Attend daily/weekly/monthly meetings and any other functions required by management.
• Always provide a professional image through appearance and dress.
• Approach all encounters with customers and employees in an attentive, friendly, courteous and service-oriented manner.
• Adheres to hotel/brand established regulations, company standards, sales standards and sales metrics related.
• Develop a full working knowledge of the operations and policies of the hotel and applicable departments.
• Perform any other duties as requested by the General Manager and/or Director of Sales.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required. This position carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include training employees; planning; assigning and directing work; appraising performance; rewarding and discipline employees; addressing complaint and resolving problems.
Education and/or Experience:
• At least 3 years progressive experience in sales within a hotel setting
• Has personal integrity, manages time well, highly visible in area of responsibility and has the ability to effectively prioritize workload.
• Excellent selling skills
• Ability to type 55 WPM
• Experience handling cash, accounting procedures, and general administrative tasks.
• Must be proficient in Windows Operating Systems. Proficiency in Ci/TY and Lightspeed highly desirable.
• Ability to read & interpret documents such as safety rules, operating and maintenance instructions & procedure manuals. Ability to write routine reports & correspondence as well as dates & time.
• Ability to apply deductive skills to carry out instructions furnished in written, oral, or diagram form.
• Must be effective at listening to, understanding, clarifying and resolving the concerns and issues raised by co-workers and guests.
• Must maintain composure and objectivity under pressure.
• Must be able to work independently and simultaneously manage multiple tasks, strong organization and presentation skills.
• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume.
