The Alaka`ina Foundation Family of Companies (FOCs) is looking for a qualified Administrative Assistant to support the Department of Energy National Training Center in Albuquerque, New Mexico.
DESCRIPTION OF RESPONSIBILITIES:
Takes, prepares, and distributes meeting minutes
Establishes and maintains files, inventories and records
Coordinates submission of all deliverables and related documents
Represents the client during administrative meetings
Plans meetings, takes notes and sends out meeting summaries
Plans travel for client leaders and coordinates invitational travel and travel by another organization in the DOE Authorized travel tool
Assists with deliverables by preparing transmittal memos
Create, compose, and edit technical and/or administrative correspondence and documentation
Prepares reports, presentations routing packets, and correspondence
Creates memos, letters, and other correspondence; assists in maintaining templates
Assist in reviewing time and attendance processes and input to the database for the EA-50 Federal staff
Applies and follows basic safety and security concepts and policies
Other duties as assigned
REQUIRED DEGREE/EDUCATION/CERTIFICATION:
A high school diploma or G.E.D.
Additional coursework in computer operations, data processing, word processing, technical writing, business English, business mathematics, office machines, filing and indexing, and office practices and procedures, leading to an Associate’s Degree from an accredited college, university, business, or technical-vocational school - Preferred
REQUIRED SKILLS AND EXPERIENCE:
Knowledge and experience in working with both internal and external customers
Knowledge and experience of editing techniques
Knowledge and experience in using Adobe Software, including Acrobat DC and Pro DC and Concur Government Travel System
Experience in quality control of products
Experience in planning or coordinating events
Demonstrated editing skills
Demonstrated experience editing and proofreading correspondence and other documents
Demonstrated ability to maintain a positive attitude
Ability to work with people with poise and discretion
Ability to work collaboratively with team members to complete projects
Ability to handle multiple projects
Ability to work in Microsoft Office Suite and Outlook
Demonstrates a propensity for learning new software applications, such as databases and/or project scheduling is a plus
