Purpose

Ketchikan Indian Community (KIC) job descriptions are a management tool to help organize duties and provide employees with the employer’s expectations with regard to a specific job classification. Job Summary

The receptionist is responsible for the management of a multi-line switchboard by relaying incoming calls to appropriate departments. Greets the public, vendors, and employees, determines the purpose of the visit and directs or escorts him/her to appropriate location.

Performs administrative and clerical support tasks including but not limited to: internal/external mail distribution, monitoring company vehicle usage and the 2960 Tongass Fifth Floor Conference Room meeting schedule. Performs other duties as assigned.

Job Duties & Responsibilities

  • Receives mail, packages, and courier deliveries and arranges for pick up in a timely manner.

  • Prepares outgoing mail for pick up on a daily basis and assists with bulk mailing projects.

  • Creates forms for different programs and staff business cards. Maintains adequate supply of all available program forms/applications to provide upon tribal member request.

  • Responsible for company vehicle use logbook. Confirms driving record release form has been completed with the Human Resources Department before issuing a vehicle key to a regular/temporary employee.

  • Maintains a scheduling book for those interested in reserving the 2960 Tongass 5th Floor conference room.

  • Prepares schedule on or before the 29th of each month for the following month to post outside the room.

  • Welcomes and provides information to visitors, vendors, and tribal members either in person or phone.

  • Prioritizes all incoming calls and immediately refers the call to the appropriate personnel as needed.

  • Attends and participates in appropriate administrative committee meetings. Teamwork’s with other administrative staff in preparation, participation, and closure of public meetings.

Minimum Qualifications (Education & Experience)

  • Highschool Diploma or Equivalent

  • 12 months of experience in administrative/clerical field preferred. Motivation for professional and career advancement preferred.

  • A combination of relevant experience, education, and training may substitute for education and experience requirements on a year for year basis.

  • Proof of valid drivers license with acceptable driving record.

Necessary Knowledge, Skills, and Abilities

  • Knowledge of reception protocols.

  • Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) Tribal culture and lifestyle, working effectively with AI/AN populations.

  • Effective oral and written communication skills with sensitivity to the lifestyles of targeted participants.

  • Skills in operating personal computers using a variety of computer software.

  • Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts.

  • Ability to maintain strict confidentiality and comply with all applicable federal and tribal privacy laws and KIC policy (HIPAA, HITECH, etc.).

  • Ability to learn and apply program/agency operating policies and procedures.

  • Ability to manage multiple priorities and tasks concurrently and meet deadlines.

  • Ability to work independently as well as with teams.

While performing the duties of this Job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, peripheral vision, and depth perception. The noise level in the work environment is usually average.

Work is performed in a small office with limited storage, filing and workspace. People asking questions/directions frequently interrupt incumbent. Some work is performed in conference rooms and at photocopy/fax machine

Conditions of Hire

  • May be required to possess and maintain a valid driver's license or capable of obtaining one, as well as be insurable by KIC’s company insurance.
