Description

We are offering a contract to hire employment opportunity for a Front Office Manager in Keller, Texas. As the Front Office Manager, your role will involve managing the office operations, ensuring efficient and smooth day-to-day functioning. You will be tasked with a range of responsibilities including client communication, data management, scheduling, and basic invoicing tasks.

Responsibilities:

• Greet visitors and respond to incoming calls in a timely and professional manner.

• Efficiently dispatch calls and messages to appropriate personnel, maintaining accurate records.

• Manage the process of time, materials, and labor check-ins, diligently tracking and recording employee work hours and project details.

• Utilize software applications to assist in data management, scheduling, and basic reporting.

• Ensure timely and accurate communication by sending electronic statements and invoices to clients.

• Oversee the scheduling and coordination of appointments, meetings, and conference room bookings, ensuring smooth operation.

• Collaborate with team members to maintain office supplies, order replacements, and keep the office well-stocked and organized.

• Maintain a clean, welcoming, and organized front office area for clients and visitors.

• Act as a liaison between clients, visitors, and internal teams, ensuring effective communication and addressing inquiries promptly.

• Proactively identify areas for process improvement within the front office operations and implement solutions to enhance efficiency.

• Maintain confidentiality and discretion when handling sensitive information and client data.

• Assist in organizing company events, team-building activities, and special projects as needed.

Requirements

• Must hold a minimum of 3 years of experience in a similar role, preferably as an Administrative Assistant, Front Office Coordinator or Office Manager

• Strong skills in Administrative Office tasks and procedures are required

• Demonstrated ability in Back Office Support is essential

• Excellent organizational and leadership skills

• Proficiency in MS Office and office management software

• Outstanding communication and interpersonal abilities

• Proven experience in planning and coordinating administrative procedures and systems

• Ability to handle confidential information

• Strong problem-solving skills and an analytical mindset

• High school diploma is a minimum requirement; further education in Office Administration is highly desirable3
