Cesar Chavez Foundation Executive Assistant in Keene, California
Summary
Under the supervision of the Executive Director of the National Chavez Center, assists in coordinating activities to meet the goals of the organization. As such, the work entails organizational coordination duties, assistance in program implementation and general office support. The position requires a highly self-motivated individual, with the unequivocal ability to follow-through timely and correctly with assigned tasks, while thriving in a multi-task, multi-goal environment.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Support the Executive Director’s communication and coordination with both internal and external entities, including, but not limited to, communicating and coordinating with the Office of the President, various Directors, other Cesar Chavez Foundation funds, as well as with funders, community leaders, elected officials and supporters.
Manage the accurate and timely submission, dissemination and documentation of documents for review at the various approval and monitoring committees that support NCC’s work.
Analyze, organize and orchestrate general office operations with the goal of maintaining high levels of effectiveness and efficiency, through the proficient use of appropriate software applications and office management procedures.
Assume lead in the preparation of correspondence, memos and reports, including but not limited to researching, structuring content, writing, production and presentation.
Assist the Executive Director with research on federal, corporate and foundation prospects on an on-going basis.
Coordinate writing, production and supply of organizational descriptive materials, including writing, production and distribution of NCC’s quarterly newsletter.
Manage the Executive Directors calendar, including arranging complex and detailed travel plans and itineraries.
Support special events by planning and undertaking all the logistical issues, including but not limited to, arranging for facilities, food, issuing information or invitations, coordinating speakers, and controlling event budget.
Support the Executive Directors by assuming miscellaneous duties requiring some analytical thought and written responses.
Coordinate the National Chavez Center’s Speakers Bureau in assisting with request follow-up and fulfillment, honorarium negotiations, travel logistics management and reporting.
Supervisory Responsibilities
The job does not, at this point, have consistent supervisory responsibilities. On special occasions, for specific projects, may directly supervise a small number interns, clerical employees and/or reception staff. Carries out coordinating responsibilities in accordance with job duties, organization’s policies and applicable laws. Responsibilities may include participation in planning, assigning, and directing work.

Education and/or Experience
Associates degree or equivalent; or two to five years related experience and/or training; or equivalent combination of education and experience. Bachelor’s degree strongly preferred.
