Service Coordinator (Kansas City, MO)

We are seeking an experienced administrative professional to support our growing service department in our Kansas City operation. In this role, you will work directly with the sales team, customers, other Heubel Shaw departments, and distributors to coordinate material handling projects as efficiently and accurately as possible. You will provide essential administrative support to the service department, assist customers, and collaborate with all Heubel Shaw departments to ensure excellent customer service. Responsibilities include overseeing invoicing, client billing, and managing service requests. Our service department is vital to our company’s success, and in this role, you’ll work closely with the service manager to help shape the future of our Kansas City operation.

Duties and Responsibilities:

  • Answer incoming telephone calls and direct calls to appropriate department or person.

  • Assist Service Dispatcher with telephones, customer, and service technician support.

  • Provide clerical support assisting Customer Solutions Manager on projects, spreadsheets, and memos.

  • Assist managers and sales personnel with preparation of correspondence, quotations, equipment proposals, etc.

  • Maintain filing system.

  • Administer all aspects of the work order and invoice process to produce service revenue from customer, internal and warranty accounts.

  • Invoice and file all service warranty claims with manufacturer, monitoring through credit receipt.

  • Assist management with special projects in supporting the departments and the customer.

  • Organize and maintain all files and records.

  • Order and maintain sufficient levels of office supplies.

  • Process new truck installations with manufacturer.

  • Assist in coordination of rental, demo, and loaner equipment freight arrangements.

  • Various additional responsibilities as assigned by management.

  • Work with all departments and employees to ensure quality of customer service.

Ideal candidate will possess:

-Prefer at least 5 years’ experience in the material handling or similar industry.

-Must be able to multi-task, be organized, communicate effectively, and have the desire to provide the best customer experience possible.

-This position requires an understanding of lift truck and other material handling equipment specifications.

-Excellent communication and multi-tasking skills.

Minimum Qualifications:

-High School Diploma - Associate degree desirable.

-Five or more years administrative or equivalent experience.

-Candidates must be proficient in all Microsoft Office products.

-Must have experience invoicing clients or customers
