Job Description Summary:
The Project Coordinator in the Division of Internal Medicine - Genetics, Environmental and Inhalational Disease will manage post-award grant activities, including reviewing and processing Notices of Agreement (NOA), ensuring employees involved in grants are notified and compensated, and collaborating with KUMC Research Infrastructure (RI) for budget accuracy and sub-award setup. The role includes managing grant progress reports and maintaining compliance with budget guidelines. Additionally, the Project Coordinator will monitor program effectiveness, assist the Division Chief and research faculty with grant preparation, IRB protocols, and reports, and maintain regulatory files while continuously improving operational practices. Responsibilities may adapt to support the division\'s evolving goals.
Job Description:
Job Duties
- Gather and review Notices of Agreement (NOAs), ensure that all grant-involved employees are informed and appropriately compensated, and collaborate with KUMC RI to verify accurate budget setup and sub-award processes.
- Determine grant progress report deadlines, contents, and formatting; schedule ample time for completion and review; and coordinate with KUMC RI to request and monitor No Cost Extensions as needed.
- Establish and manage key indicators of program success, implement data collection and metrics tracking, and use qualitative and quantitative research methods to evaluate program effectiveness. Recommend and apply modifications for program improvement as necessary.
- Oversee financial management for all awarded grants and subawards, including managing Cost Divisions and multiple funding sources. Provide continuous financial reports to the Director and/or Principal Investigators to ensure budget compliance.
- Continuously review and refine operational procedures and record-keeping practices to enhance efficiency and accuracy.
- Maintain departmental and regulatory files, both manually and electronically.
- Assist the Division Chief and research faculty with grant preparations, IRB protocols, and annual report renewals.
- Coordinate project setup, management, and close-out activities.
- Serve as a resource for defining and achieving project goals, methods, and outcomes.
- Track and drive progress to ensure project milestones are met and staff efforts align with project objectives.
- Monitor and address action items and stakeholder requests to maintain project momentum.
- Participate in project meetings, conferences, and reviews.
- Document project meetings, disseminate information post-meeting, and coordinate follow-up tasks.
- Draft project meeting agendas, reports, and related documentation.
- Provide support for project leadership by gathering information, conducting research, and coordinating with other departments to secure necessary data and materials.

Required Qualifications
Education:
- Bachelor\'s degree in a related field. Education may be substituted for experience on a year for year basis. Experience used to substitute education is in addition to any required work experience.
Work Experience:
- Minimum two (2) years of administrative experience in a complex office setting.
Preferred Qualifications
Education:
- Master\'s degree in a related field.
Work Experience:
- Experience in higher education, research administration, or a healthcare institution.
- Prior experience with NIH grant administration, including T32 and COBRE grants.
- Previous experience in maintaining accurate records and ensuring compliance with grant regulations.
Skills
Proficiency in Microsoft Office Suite and specialized software such as ERA Commons, XTrain, and Workday.
Strong ability to work independently, exercise discretion, and apply sound judgment in managing multiple high-level tasks.
Excellent written and verbal communication skills.
