Kalamazoo County Government Court Services Specialist in Kalamazoo, Michigan

GENERAL SUMMARY

The purpose of this job is to provide a variety of administrative support to internal and external parties in the processing of various court-related proceedings. Monitors and ensures the efficient flow of cases through the entire lifecycle, from creating a record to the disposition of the case by assisting with scheduling hearings, arranging meeting spaces or special accommodations, and operating remote virtual sessions. Maintains compliance with statutory mandates and is responsible for entering the relevant information into the court's case management systems. Reviews, analyzes and assesses proper filings of all legal pleadings that will serve as the court record. Updates court records regarding the judicial action of all court events. Assists in recording and preserving Court proceedings by operating audio and video recording equipment.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Provides administrative support on various court-related activities within the Circuit Court Trial Division, including civil, criminal, and appeals.
  • Receives, processes, and files legal court filings, pleadings, and other documentation in accordance with legislative and court procedures.
  • Assists the Personal Protection Order office, including reviewing submitted paperwork, scheduling intake appointments, providing notices, etc.
  • Conducts accuracy and compliance reviews of electronic records, correcting identified errors before filing cases.
  • Coordinates and manages the jury qualification and selection process. Reviews, analyzes, interprets, and evaluates jury questionnaires for qualification. Accepts or rejects questionnaires based on appropriate criteria. Monitors questionnaires that are undeliverable or incomplete for processing.
  • Schedules hearings, coordinates meeting spaces, arranges logistics for special accommodations, and operates virtual sessions.
  • Assists with recording, entering, and disseminating information relating to court procedures, court order interpretations, appointments, and hearings in accordance with Court protocols and procedures.
  • Handles incoming mail, ensuring forms and documentation are accurately timestamped and rerouting mail appropriately.
  • Reviews, verifies, and processes monetary transactions, such as bonds, for court filings, and updates case documentation.
  • Manages emails received from courtroom staff, Office of the Prosecuting Attorney (OPA), law enforcement, and other departments relating to processing, canceling, modifying, or verifying warrants.
  • Performs related work as required.

MINIMUM QUALIFICATIONS

Required Education and Experience

  • Bachelor's degree from an accredited college or university in Criminal Justice, Pre-Law, Politics, or a related field.
  • 1 to 3 years of related work experience, such as Court Clerk or Administrative Assistant.  
  • Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities.
