Kalamazoo County Government Administrative Assistant in Kalamazoo, Michigan
GENERAL SUMMARY
The purpose of this job is to provide administrative support in a variety of functions. Collects, reviews, and analyzes complex, confidential data. Prepares reports, charts, budgets, and other presentation materials. Responds to internal and external inquiries with correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. Coordinates purchasing of department supplies. Processes and maintains invoice records.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Performs administrative duties of confidential nature with minimal supervision.
- Manages office facilities, materials, and supplies, including maintaining inventory and ordering supplies.
- Supports Park customers, including scheduling shelter and camping reservations, promoting upcoming events, and updating records.
- Processes parks pass sales and organizes records within applicable County systems.
- Completes data entry and maintenance for County programs across appropriate databases.
- Liaises with partners, government agencies, and vendors on behalf of County programs to collect necessary or missing information to accurately maintain reporting and records.
- Assists with financial transactions, processes, and reconciles invoices, processes reimbursements and gas account purchases.
- Maintains the purchase procedures, purchase orders and services contracts and records.
- Performs related work as required.
MINIMUM QUALIFICATIONS
- High school diploma (or GED equivalent)
- 3 to 5 years of related work experience in administrative support or office management
- Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities.
