Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by the supervisor. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
Composes, types, and edits various documents including letters, memoranda, reports, forms, narratives, informational brochures, and training materials from voice recording devices, or rough draft using a variety of computer applications including but not limited to: Microsoft Office (Word, Excel, PowerPoint, Publisher), Adobe, word processing or personal computer
Building security
Manages interdepartmental and ground mail and packages
Experience with or aptitude with the institution’s operating systems including but not limited to: Banner, Concur, TaskStream
Demonstrates excellent customer service and positive personal interactions with A-State students and staff/faculty, prospective students, alumni, clinical sites and clinical instructors, and other A-State and community members
Collegial relationship with administrative specialists in other college departments, coordinating phone coverage and other leave coverage as needed.
Assists department chair and program directors with daily operations of each program
Other duties as assigned
Knowledge/Skills/Abilities:
Knowledge of the principles and practices of mathematics and statistics
Knowledge of research and analysis techniques and methods
Knowledge of work-related subject area
Knowledge of computers and software applications
Ability to prepare, present, and review oral and written information and reports
Ability to research and analyze related work program information
Ability to develop, recommend, interpret, and apply policies and procedures
Ability to analyze financial records and prepare reports
Ability to plan, organize, and direct the work of others

Assists the chair of the department in managing the daily operations of the department by performing activities such as:
• Initiate Requisitions for Purchasing/Reimbursements, approval for travel (Concur);
• Manages procurement of all office and lab supplies for both programs.
• Record keeping and submission of receipts, approvals, and invoices;
• Reconcile monthly budget reports for all department accounts and provide a summary report to chair;
• Editing and managing the department’s and each program’s A-State webpage.
Assists Program Directors with each program’s assessment plan by various activities such as:
• Design and distribution of program assessment surveys to students, alumni, and employers. Followed by data collection for the program directors.
• Provides information about each program to prospective students and schedules onsite prospective student visits.
• Schedule and manage annual equipment calibration and safety checks with an external company.
Assists all department faculty with purchases for course supplies and services, printing services, obtaining desk copies of texts, and initiating reimbursements.
Submits semester course schedules into the Banner system and lifts holds so students can register for courses.
Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) year of specialized training in business management, business education, or a related field
Two (2) years of experience in a specialized or a related field applicable to work performed
Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
