Description
Robert Half is partnered with a leading manufacturing company in the New Iberia area in search of an Executive Assistant. The role provides comprehensive support to the organization's CEO, ensuring effective utilization of their time and fostering productive interactions with staff and clients. This position is vital to the organization, requiring a high degree of discretion, confidentiality, professionalism and initiative.
Responsibilities
• Develop and maintain positive, strategic relationships at all levels within the organization.
• Independently handle a broad range of administrative support tasks, taking initiative and implementing processes to manage projects, information, and people to completion with minimal supervision.
• Manage executive schedule, prepare for meetings, follow-up tasks, and arrange travel, including detail oriented and personal engagements.
• Maintain confidentiality while using discretion, judgement, and knowledge of the organization to facilitate key activities.
• Handle information requests and perform project management duties, which may include coordinating conferences, large events, and other company functions.
• Consistently respond to all correspondence in a timely manner, potentially including monitoring of executive's emails and responding on their behalf.
• Reconcile expense reports and manage reimbursement of expenses.
• Prepare reports and/or special projects; this may involve data collection, coordination, final copy preparation, distribution, and possibly final presentation.
• Maintain accurate databases, contact records, and customer information, including organizing and maintaining documents, filing, data entry, and answering multiple phone lines in a detail oriented and courteous manner.
Requirements
• Proficiency in using Concur or similar system for managing expenses and travel arrangements
• Ability to efficiently handle answering inbound calls, providing prompt and detail oriented responses
• Demonstrated experience in calendar management, effectively scheduling meetings and appointments
• Expertise in preparing and managing expense reports accurately and timely
• Proven ability in coordinating travel arrangements, including flight and hotel bookings, and managing any changes or cancellations
• Experience in coordinating and preparing for meetings, including setting up the meeting space, preparing agendas, and ensuring all necessary materials are available.
