Part Time - WIB Youth Employment Program (YEP) Office Assistant (Grant Funded Position) Scope of Work: The responsibility of the YEP Office Assistant is to perform various administrative and clerical tasks to support the success of the program. The Office Assistant will undertake a variety of activities that consist of filing, answering phones, data entry, and time sheet calculations. The Office Assistant will interact with potential and actual Program participants to ensure application and file accuracy. The Office Assistant will work closely with the WIB Staff on payroll and any other administrative needs as well as collaborating with the YEP staff to ensure data entry records and paperwork are accurate. Excellent time management, communication skills, and Microsoft Office knowledge are essential to this position. The YEP Office Assistant shall report directly to the YEP Coordinator. Specific responsibilities shall include but not be limited to the following: Program Design and Delivery Collaborate with internal staff and partner agencies Travel throughout the county as necessary to assist with time sheet retrieval, delivery of youth paychecks, meet with youth or employer to complete or advise on necessary paperwork, assist with eligibility sessions or orientations, etc. Business Interface Retrieve/review/data enter/mail business contracts Business outreach as necessary Youth Interface Making and receiving phone calls to/from youth and employers Assist with youth eligibility sessions, orientations, and wrap-up sessions Contact and follow-up with youth and/or their guardians to ensure applications and files are accurate and complete Administrative Complete all reporting required by WIB Staff and/or YEP Coordinator Review all youth time sheets in a timely fashion. Check for accuracy in calculated hours, appropriate documented breaks in correlation with the NYS Labor Laws, dates of the time sheet follow the appropriate pay period, and both worksite supervisor and youth signatures are on the time sheets. If any of these steps are not complete, the time sheet should be returned to the Retention Specialist and they will be responsible to retrieve and resubmit a corrected one Complete all necessary prep work for the next program year/Summer Youth Employment Program (SYEP) All other duties as assigned

Qualifications: Advanced Computer literacy skills (Microsoft Excel, Microsoft Word/Mail Merge, and Microsoft Outlook)
