Lutheran Secretary/Receptionist-HP- Part-time in Jamestown, New York

Hultquist Place Assisted Living Facility is seeking a Part-time Secretary/Receptionist. Variable hours depending on the coverage needed to meet the demands of the program.

Purpose: Will serve as a receptionist and secretary assisting the Administrative Assistant to assure services to residents are timely and appropriate and medical records are properly maintained.

Qualifications: High School Diploma or equivalent preferred or presently a student pursuing HS diploma or equivalent. Relevant experience considered in lieu of a diploma. Knowledge of medical terminology. Prior healthcare employment/experience or interest in obtaining this knowledge, functional competencies with Microsoft-based software applications, possession of sound organizational and problem-solving skills, and demonstrated written and oral communication abilities.

Salary Range: $15.00- $20.76

Job Duties:

  • Demonstrate ability to communicate effectively in both written and oral formats

  • Works as a team player

  • Maintains high level of organization and prioritization in work practices

  • Maintains ability to recognize and monitor confidential medical information and employee records

  • Answers the phone and takes messages in a professional manner. Directs calls to allow for maximum service to customers

  • Greets and interacts with visitors, doctors and other departments as they approach the desk

  • Operates a fax machine, copier and computer efficiently

  • Files medical sheets in a timely manner

  • Maintains charts, keeps pages reinforced, neat and organized

  • Assists in maintaining calendar for bus use and appointments and provides daily sheet for transporter

  • Assists in scheduling appointments for residents and assures all required paperwork is ready on time for the MD as verified by nurse

  • Arranges for resident transportation, as needed

  • Keeps office supplies stocked (flags, reinforcers, etc.)

  • Calls for lab work and other medical record consults

  • Makes out work orders as needed

  • Orders phone service for resident when requested

  • Performs basic math calculations

  • Assists in maintaining current photos of all residents

  • Assists in maintaining dining room sheets and unit dining room seating charts

  • Sorts and delivers resident mail

  • Other tasks as assigned by Administrative Assistant

  • Fills in for Administrative Assistant as needed

  • Maintains unit's originals and keeps forms drawer adequately stocked

  • Assists in maintaining staffing schedule
