Audubon Community Nature Center, Inc. Administrative Assistant and Volunteer Coordinator in Jamestown, New York

The Administrative Assistant and Volunteer Coordinator’s primary responsibilities include performing administrative tasks for the Executive Director, database management, and management of the ACNC volunteer program. This position includes a combination of detailed database work (reports, numbers, lists) in addition to extensive communication and collaboration in order to foster a positive volunteer experience.Responsibilities Office Administration (45%)•Assists with the preparation of monthly and annual paperwork related to personnel and finances.•Prepares new employee paperwork and assists with general new employee training.•Prepares weekly, monthly, annual reports for: deposits, donations, membership, and volunteers.•Facilitates Nature Center guestbook entries into electronic database.•Performs all purchasing of kitchen, office, postage, and general custodial supplies as needed.•Assists the Executive Director with the planning and facilitation of the Annual Meeting and Blue Heron Legacy Events.•Performs data collection for the Annual Report.•Annual Fund/Memorials/Honorariums: produces timely thank yous and notifications to be signed by the Executive Director.•Prepares a list of all donors (memorials, honoraria, general) for the ACNC Newsletter and Annual Report.•Assists the Executive Director with the preparation of Annual Fund appeals (content, scheduling, and logistics).•Coordinates assistance from outside providers to address technological problems that arise.Volunteer Coordination (25%)•Handles all general and event volunteer recruitment, training, and retention.•Coordinates Volunteer Appreciation events and annual Volunteer Day.•Facilitates ongoing volunteer recognition.•Addresses volunteer-related issues as needed.Database Management (10%)•Prepares the appropriate financial reports for the book keeper in a timely fashion.•Serves as the staff liaison to Doubleknot (ACNC’s Database) for tech support, produces Doubleknot reports for staff upon request, and assists with Doubleknot’s Sales Station updates and reports.•Doubleknot Database management: correct addresses, removes and adds names, edits information, etc.Reception Desk (5%)•Performs Opening and Closing tasks for the Nature Center on the day when volunteers are scheduled to work the Reception Desk.•Assists with Reception Desk coverage and tasks as needed•Orders membership supplies and print materials and creates free membership letters to be used as donations Mailing and Membership Committee Staff Liaison (10%)(For each newsletter, fund drive appeal, membership, and other mailings as needed.)•Schedules committee members for mailings, and prepares supplies and set up•Preps and prints labels, and prepares paperwork through USPS website•Oversees Membership Committee volunteers, and provides technological and database assistance as needed.Additional Roles and Responsibilities (5%)•Participates in ACNC’s ‘Culture of Philanthropy’ by performing tasks designated to staff •Assists the Executive Director with additional tasks as neededMinimum Qualifications•Associates Degree or higher•Proficient with Microsoft word processing, excel spreadsheets, database management, and desktop publishing•Strong technological skills•Previous experience coordinating and supervising volunteers•Previous experience serving in an administrative role•Excellent written and verbal communication skills (both internal and external)•Self-directed, but also able to work in a team environment•Flexible and open minded•Willing/able to take direction and give directionPreferred Qualifications•Experience with managing online databases (DoubleKnot)•Passion for people - who they are and what they enjoy doing•Introvert and extrovert - this job requires both!•Kind, compassionate, and a good listener•Enthusiastic!•Previous experience working in a nature center or similar settingTo Apply:•Submit resume, cover letter, and three letters of recommendation to info@auduboncnc.org with the subject title: Administrative Assistant and Volunteer Coordinator Application.•Letters of recommendation must address one or more of the following:oCommunication and leadership styleoAdaptability and problem solving skills oTechnological skills (computers, copiers, data management, etc)oGrowth mindsetoOrganization, time management, and prioritization skills

Minimum Salary: 34,320 Maximum Salary: 46,433 Salary Unit: Yearly
