As a Business Unit Secretary, you will provide comprehensive administrative support to Head of Business Unit and team within the division, facilitating efficient operations and effective communication within the organization.
A Day in The Life as Secretary
Assist Head of Business Unit and team in secretarial duties in managing their job and responsibility run smoothly by organizing their activities/program calendar, including scheduling meetings, appointments, and travel arrangements.
Arrange visitor’s visit program (incl. accommodation and transportation) and coordinate with relevant internal or external stakeholders.
Assisting Head of Business Unit and team in consolidating data from other units to provide timely feedback, prepare meeting agendas, materials, and minutes; follow up on action items.
Update filing system to accommodate changes due to business development and maintain all documents properly to be easily retrieve. This will include preparing necessary letters for the purpose of his/her superior as well as the employees.
Conduct specific support activities required by Business Unit such as logistics for meetings and events, including venue and catering arrangements.
Handle confidential information with integrity & stay informed about company policies and industry trends.
What Makes You Successful
Proven experience as an executive secretary, preferably supporting senior executives in corporate environment minimum for 3-5 years.
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to maintain professionalism and confidentiality in all interactions.
Strong problem-solving skills and the ability to work independently & cross-functionally with minimal supervision.
Excellent communication and interpersonal skills in English and Bahasa Indonesia.
