Job Description
Provides administrative assistance to assigned attorney(s) which includes maintaining a calendar, drafting
correspondence and other documents.
Examples of Work
Creates letters, forms and other documents as requested; proofreads for accuracy and completeness.
Composes correspondence of a non- technical nature for supervisor's signature.
Receives and reads incoming mail, screens items for handling, and forwards the rest to the supervisor
with the necessary background material.
Maintains control records on incoming correspondence and action documents and follows up on the work
in process.
Maintains supervisor's calendar by scheduling appointments and conferences with or without prior
clearance and keeping supervisor apprised of scheduled appointments and meetings.
Makes travel arrangements and coordinates logistical details for meetings.
Prepares, assembles, and processes documents and related materials for appropriate disposition;
monitors submission deadlines and time frames.
Enters billable hours on behalf of the attorney's into the tracking database, TABS.
Performs research on special topics, projects, problems and compiles data on findings for review.
Demonstrates good time management.
Proactive with knowledge of matters and key clients and parties.
Establishes, maintains, and updates filing systems; may maintain fiscal records.
Greets the public, answers the phone, and answers questions requiring interpretation of organization
practices and procedures.
Handles or has limited access to departmental records and information of a confidential and/or sensitive
nature.
Operates personal computers using word processing, spreadsheet, database, and related software, copiers,
and other standard office equipment.
Performs related work as required.
Knowledge, Skills and Abilities
Proficient in Word, Outlook, Access and Excel data program management.
Knowledge of TABS3 software is a plus.
Knowledge of the procedures, functions, and specialized terminology of division or department to which assigned.
Knowledge of office practices and procedures.
Knowledge of Business English and arithmetic.
Skill in composing routine correspondence.
Interpersonal skills critical in order to communicate in person, by e-mail and telephone and follow the instruction effectively from a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
Ability to operate personal computers using word processing, spreadsheet, database, and related software, copiers, and other standard office equipment.
Ability to perform mathematical functions.
Ability to perform research, compile data, and report findings.
Ability to establish, update, and maintain filing systems.
Ability to read, comprehend, and apply job related material.
Ability to schedule and manage attorney's appointments on calendar.
Ability to communicate effectively both orally and in writing.

- Three years of experience as a legal assistant or three years of administrative experience, or a master’s degree is required.
