Job Description

The Office of Public Parking is actively seeking an Administrative Assistant.

This is administrative work at the supervisory level in coordinating a variety of administrative support functions. The work requires a knowledge of administrative methods, practices, and procedures which is usually gained through a combination of training and considerable experience. Schedules, assigns, monitors, directs, reviews and evaluates the work of assigned staff. Contacts with others require skills in understanding and influencing people and are important in supervising staff and coordinating administrative details affecting the organizational unit. The work is standardized in that tasks are covered by substantially diversified procedures and specialized standards, requiring the use of judgment in search for solutions or new applications. The work is performed in an office environment though the employee may be required to deliver or pick up mail, documents, supplies/materials, or work in the call center answering phones. Operates personal computers, copiers, and other standard office equipment. The physical demands consist of moving from one work location to another, sitting or standing for extended periods of time, and lifting objects weighing up to 20 pounds. The work is performed under limited supervision subject to practices and procedures covered by precedents or well-defined policy and is reviewed, usually after the fact, in terms of quality, timeliness, and adherence to methods, standards, and policies.

  • Plans, organizes, assigns, reviews, and evaluates the work of assigned staff.

  • Supervises the preparation and maintenance of administrative records, files, and reports.

  • Recommends, coordinates, and implements administrative practices and procedures to facilitate work processes and accomplish unit activities.

  • Researches, conducts interviews, develops, prepares, writes, and edits publications, reports and/or correspondence.

  • Attends meetings, oversees the recording, preparation, and maintenance of minutes and makes presentations on administrative and technical subjects.

  • Prepares or recommends budgets, monitors expenditures, and prepares financial reports and summaries.

  • Operates standard office equipment such as personal computer using word processing, spreadsheet, database and other related software, and copiers.

  • Communicates clear direction, manages for results, and leads organizational change.

  • Assigns responsibility, takes corrective action, demonstrates leadership in evaluating, developing, and motivating employees.

  • Demonstrates proficiency in the City of Jacksonville’s competencies.

  • Performs related work as assigned.

LICENSING/CERTIFICATION/REGISTRATION:

  • Depending on assignment, a valid driver’s license may be required prior to appointment and must be maintained during employment in this class.

  • Depending on assignment, must qualify for prior to appointment, obtain, and maintain during employment in this class a City of Jacksonville certification as a public driver.

OTHER REQUIREMENTS:

  • The probationary period for this class is one year.
