Ithaca College ADMINISTRATIVE ASSISTANT - HUMANITIES & SCIENCES DEAN'S OFFICE in Ithaca, New York

Job Summary:

Provide administrative and operational support within the School of Humanities & Sciences Dean's Office, the Department of Philosophy & Religion and the Center for the Study of Culture, Race and Ethnicity. Provides administrative support to the Directors of the H&S Pathways and Mock Trial Program. Primarily working in the front office area managing office coverage and providing overall customer service. Maintain the Dean's calendar and schedule meetings, and hire, schedule, train, and supervise dean's office student assistants. Process a variety of College procedural and operational forms. Provide administrative support for registration, orientation, various student services and faculty functions, curriculum committee activities, and financial transactions.

Supervision: Reports to Dean

Job responsibilities:

  • Serve as a primary resource to provide School and program information, answer student, parent, and faculty questions, and respond to requests for information. Manage the front office, ensuring coverage and assisting with the flow of faculty, students, staff, and visitors to the Humanities & Sciences Dean's Office. Maintain the Dean's calendar and schedule meetings and appointments; respond to telephone and email inquiries; sort and distribute mail; maintain up-to-date signage, bulletin boards, and materials; order office supplies. Keep information and materials in the Dean's Office up-to-date and orderly. Provide administrative support for the department chairperson and faculty of the Philosophy & Religion Department, Jewish Studies, and CSCRE to include preparing letters, memos, reports, proposals, records, manuscripts, and other documents. Sort and distribute mail; screen in-coming correspondence and compose replies based on general instructions of the supervisor.

  • Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse, and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, and visitors to the College. Promote a flexible, collaborative, and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

  • Develop and maintain department databases. Compile information and prepare spreadsheets and reports on departmental, committee or other activities. Maintain confidential files and records and provide necessary documents for staff members' use.

  • Oversee the electronic Scan, Sort, and Retrieve filing system for the Dean's office along with the other departments that the AA is responsible for. Disseminate, receive, and process a variety of college and departmental procedural and operational forms, perform data entry, and maintenance of various electronic files and spreadsheets. Provide assistance to the Assistant to the Dean and other staff as needed to prepare documents and reports for the Dean.

  • Hire, schedule, train, and supervise student assistants to work with in the Dean's office. Provide day-today work assignments for students and provide mentoring and evaluation of student work performance. Review, approve and submit student timecards.

  • Serve as administrative support for department chair meetings and similar meetings requested by the Dean. Coordinate development of meeting agendas, distribute emails, and arrange for facilities, meals, and/or refreshments and other logistics.

  • Serve as administrative support for the Exploratory Program (Pathways). Respond to telephone and email inquiries for the program; assist the Program Co-directors with special projects, event logistics, data entry, and reporting.

  • Provide assistance with special projects and assignments within the Humanities & Sciences Dean's Office, Philosophy & Religion Department, CSCRE, Pathways Program, and Mock Trial program. Prepare materials and arrange for facilities, meals, and/or refreshments and other logistics.

  • Provide assistance with course scheduling and reserving of rooms; help in identifying problems/conflicts with proposed schedules; assist with pre-registration.

  • Provide assistance to the department chairperson in the preparation, review and updating of the department website.

  • Provide assistance to department faculty with preparation of course exams, syllabus, and tenure and promotion documents and letters. Maintain confidential tenure and promotion files.

  • Assist with the faculty search process to include on-line processing, preparing correspondence; maintaining files; gathering information for the Chairs review, making travel accommodations, and preparing itineraries. Process candidate reimbursements and recruitment charges.

  • Conduct an orientation session with new faculty members in the department along with the department chair present as needed to review both the departmental and college policies and procedures and explain the administrative assistant's supporting role. Maintain departmental keys and office assignments.

  • Provide assistance in developing, maintaining, and reconciling the department budget. Process approved requisitions using the IC HR/Finance Cloud application. Assist faculty in submitting spend authorizations, funding requests, and expense reports. Reconcile credit card statements for department and faculty purchases.

Qualifications:

Associates degree and a minimum of 3 years previous office experience or the equivalent combination of education and experience; in-depth knowledge of various word processing, mail merger, spreadsheet, content management, survey, and database software applications; familiarity with web or graphics applications; excellent attention to detail, strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; ability to work independently, take initiative, prioritize projects, handle multiple tasks and meet deadlines; experience with financial/accounting processes; experience with operating multi-line telephone systems and using multi-user calendar software are required. Previous experience working with an on-line student information system in a College or University is preferred.

Work Environment:

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to use a personal computer and associated equipment as well as other office equipment used in the day-to-day operations. The incumbent may need to deliver various materials on campus requiring the ability to walk or drive or make other travel arrangements.

This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:

$18.45 to $22.24 per hour, commensurate with qualifications and experience.
