Job Summary:

Assist the Payroll Administrator with processing Middlesex Enterprise payroll, Board of Directors fees, supplemental pension payments, as well as one-time payroll events such as holiday gift, replacement checks, etc., as needed throughout the year. The successful candidate will be passionate about supporting and driving the Company’s Values, RIGHT: Respect, Integrity, Growth, Honesty and Teamwork.

Work Performed:

Bi-Weekly:

  • Review time classification on WAM employee timesheets (Functions/Work Orders, vacation, sick time, etc.) using Crystal Reporting and coordinate bi-weekly payrolls with ADP (payroll hours and employee information into ADP system) for MWC, TUI, and WMES to insure timely distribution of payroll.

  • Record and process garnishee deductions, 401K loans, 401K contributions and state and federal deductions.

  • Process new hires, terms, rate increases-calculating retros.

  • Prepare payroll journal entries and cash requirement reports.

  • Maintain Infolink in ADP.

  • Check Cash Flow for MWC Payroll Bank and TASC Bank Rec daily.

  • Complete WAM posting of timesheets.

Monthly:

  • Preparation of journal entries using data in spreadsheet.

  • Transportation expense distribution

  • Payroll taxes

  • Pension payroll

  • Board fees

  • Capitalized benefits

  • Min Cap

  • Payroll accrual

  • Transmit Board, and SERP payroll monthly.

  • Assist Accountants with general ledger analysis of payroll related accounts.

  • Prepare related miscellaneous reports (stock, O/T analysis, 401(k) reports, time off, headcount, Labor Reports, etc.).

  • Balance Sheet Analysis for Voluntary Life/Independent Life/Disability Buy Up/Stock Plan/Accrued Payroll and Taxes MWC & TUI.

Annually:

  • Prepare annual W-2s for distribution.

  • Prepare year-end summary of payroll costs for transmittal for Pension Plan and post-retirement plan.

  • Update all benefit deductions for employees for the first payroll in January.

  • Assist Legal/Risks Department with Workmen’s Comp Audit.

Other:

  • Maintain weekly hours and earnings calculations for AWWA and Bureau of Labor Statistics reports.

  • Assist in data requests for rate cases.

  • Record and prepare other payroll data as needed.

  • Set up new companies in WFN with ADP when required.

  • Attend ADP Webinars to keep up with changes and updates in processing payroll.

  • Assist as needed on requests from external auditors related to quarterly reviews, annual audit and Sarbanes Oxley compliance.

  • Assist on all ERP related implementations/updates, including testing.

  • Assist Accounting Manager, Assistant Controller, Controller and CFO on ad hoc requests as required.

Qualifications:

  • High School diploma.

  • Six to eight accounting credits preferred.

  • 2-3 years of payroll experience.

  • Proficiency with Microsoft Office (Word, Excel, Outlook) and automated timekeeping/accounting systems.

  • ADP Workforce Now payroll or related third party system.

Physical Requirements:

  • This position requires constant operation of a computer and other office equipment such as printers, copiers, calculators.

  • Must have the ability to visually inspect and review hard copy and online documents.

  • Must be able to communicate, detect, converse with, discern, convey, express oneself, discuss and exchange information.

  • Use written, verbal and audio communication and information sources.

  • Must be able to occasionally move about inside the office and use stairs to access file cabinets, office machinery, etc.

  • Must be able to remain in a stationary position 50 % of the time.
