Financial Center First Credit Union Senior Executive Administrator in Indianapolis, Indiana

POSITION TITLE: Senior Executive Administrator

REPORTS TO: Senior Vice President, Employee Operations

PAY GRADE: 10

DEPARTMENT: Administration

FLSA STATUS: Exempt

LOCATION : Hybrid

PURPOSE: The primary purpose of this position is to fulfill our vision of inspiring financial wellness. The position must deliver high-quality service to both internal and external members by supporting and promoting our values to Care, Listen, Learn, Solve, and Act.

This position provides high-level administrative and executive support for the Senior Leadership Team of the Credit Union. In addition to supporting the senior leadership team, this position also supports the success and development of the volunteers serving on the Board of Directors and other committees.

ESSENTIAL DUTIES:

  • Prepares invoices, reports, memos, presentations, letters, and other documents, using word processing, spreadsheets, database, or presentation software

  • Collects mail for the Senior Leadership Team and distributes as appropriate.

  • Supports calendar appointments for the Senior Leadership Team as directed for the support of other management meetings.

  • Attends meetings as required. Acts as recorder for meeting, preparing minutes as required

  • Works as liaison between the Senior Leadership Team and the Board of Directors as requested

  • Responsible for assembling and coordinating the monthly Board report and meeting and meetings and packets for Board Committees. Ensures effective completion of annual policy review processes up to and including submission to Board and subsequent transmission of approved policies to leadership. Maintains and updates the Board of Director’s website and Board of Director’s manuals.

  • Will assist management and directors with travel arrangements and registrations to various seminars and meetings, preparing itinerary, trip file and supplies

  • Support event planning for both volunteer and senior leadership events, which can include calendar management, booking overnight stays, meals and room set up and supplies.

  • Completes expense reports following trip completion, as requested. Support Corporate VISA and expense reimbursement actions for Senior Leadership Team and Volunteers.

  • Efficiently and effectively coordinate and manage projects as assigned or by own initiative

  • Assist other senior managers with evaluation and implementation of projects or tasks assigned to their area

  • Performs other duties as assigned and commensurate with the position

    PREFERED BACKGROUND:

  • Associate’s Degree in Business Administration, Finance or Accounting is required. Bachelor’s Degree preferred.

  • Three to five years prior administrative experience supporting senior-level staff is required.

  • Ability to properly handle sensitive and confidential information.

  • Project a professional appearance and attitude when representing the Credit Union

  • Work requires attention to detail in composing, typing and proofing materials

  • Ability to establish priorities and meet deadlines. Must be able to work in a fast-paced environment with demonstrated ability to effectively manage multiple competing tasks and demands

  • Strong organizational skills. Ability to concentrate, exercise judgement & be a creative thinker. Able to work independently or as part of a team

  • Strong verbal and written communication skills. Strong interpersonal skills. Ability to be resourceful, perceptive, and persuasive when solving problems. Displays, diplomacy, patience and tact when dealing with members and staff

  • Must be able to read and understand material and be able to summarize and present the information in a meaningful manner.

  • The technical skills required include high proficiency in Microsoft Office such as Word, Excel, PowerPoint and Outlook, Zoom, Canva (or other presentation software)

  • Performs job duties within our bylaws, regulations, Board of Directors policies, established internal and external service standards and our work procedures

    Physical Requirements

    Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 5 lbs. Must be capable of climbing/descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day. Must be able to work extended hours whenever required or requested by management. Must by capable of regular, reliable and timely attendance.

    Working Conditions

    Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise.

    Must be able to perform job functions with supervision and work effectively either on own or as part of a team. Must be able to read and carry out various instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be able to perform basic mathematical calculations with extreme accuracy. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines/requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on confidential matters.
