Purpose of Position: Demonstrates customer service excellence while performing a variety of administrative/ secretarial duties as a team member t of the Occupational Health Service Department. Description Provides reception & secretarial services in Occupational Health Service Department: Answer the telephone in an appropriate manner. Take & relay messages. Answer questions & / or refer appropriately. Type, proof, edit, & photocopy correspondence, policy/ procedures, minutes, & reports in a variety of formats. Collate, route & distribute materials. Create, compile & assist in maintenance of various Occupational Health Services databases, including workers compensation, immunizations, monthly & quarterly reports. Sort mail & distribute. Establish appropriate priorities to carry out daily workload. Refer appropriate tasks to nursing staff. Maintain filing system for all employee OHS records & documents. Support services are provided at both Hyannis & Falmouth campuses. Manage Occupational Health employee medical records, including archiving of terminated employees & retrieval of Legacy records. Process all medical record requests in a timely manner. Schedules & arranges all aspects of client visits to Occupational Health: Explain the paperwork to be completed by the client. Process & schedule clients for pre-placement physicals & laboratory testing. Prepare requisitions for diagnostic & therapeutic services for clients per policy & procedure. Maintain accurate & updated employee records: reports of tests, procedures, & other similar materials. Notify Human Resources regarding medical determination of pre-placement physical examination. Schedule & communicate status of employee, & new hires appointments. Communicate employee status to department leaders & business partners re: disposition of employees per OHS clinician?s directions; following illness/illness OHS visits & RTW evaluations. Assist with Incident Reporting System: Review all Employee Incident Reports Forward Incident Reports to Case Manager for review. Assist with Workers\' Compensation Program: Keep abreast of lost time cases. Send appropriate WC First Report to third party administrator. Work effectively with other departments to resolve issues & improve services. Administer the Occupational Health Billing System: Communicates with others: Triage calls, communications, tasks & information to appropriate Occupational Health Services staff. Maintain Protected Health Information for all employees s & obtain necessary releases. Work effectively, exhibiting professionalism & collegiality with other departments. Promoting collaboration to resolve issues & improve services. Arrange for maintenance of equipment & space: Keep accurate records of charges, supplies & similar activities to be charged to individual departments. Maintain inventories of stock, supplies & equipment. Prepare requisitions for supplies & equipment, maintenance & repair services. Promptly informs appropriate OHS staff of observed hazards in the workplace & take immediate action if possible. Maintains timely & updated HealthStream learning & pursue necessary education & training to ensure policy compliance & delivery of optimal services: Participate in department staff meetings. Qualifications Proficiency with various software platforms, including but not limited to Microsoft Office products (Word, Excel, Access, PowerPoint, Project Management), Epic, & PeopleSoft Three years of physician office or equivalent experience Associate?s degree in business or related field preferred Familiarity with Workers\' Compensation programs preferred Schedule Details: 40 hrs. per week, Days, 8a-4p, Occ. Weekends & Holidays
