Robert Half Office Assistant in Houston, Texas

Description We are offering an exciting opportunity for an Office Assistant in the Professional Services industry based in Houston, Texas. As an Office Assistant, you will be tasked with a range of administrative duties, from managing incoming calls and correspondence to coordinating office events and maintaining a clean and organized work environment.

Responsibilities

• Oversee general office tasks including filing, photocopying, and managing video conferences.

• Handle incoming calls, redirecting them to the appropriate personnel and providing necessary information to callers.

• Respond promptly and professionally to both internal and external communications via email and other platforms.

• Draft and manage correspondence including letters, memos, and other documents.

• Organize and manage executive and office calendars, scheduling appointments and meetings as necessary.

• Coordinate and ensure smooth execution of office events such as parties, celebrations, and conferences.

• Greet, assist, and direct office visitors, providing excellent customer service at all times.

• Maintain cleanliness in the kitchen and promote a hygienic work environment.

• Regularly order, stock, and distribute office supplies and kitchen pantry items.

• Utilize software such as Adobe Acrobat, Concur, Microsoft Word, Excel, Outlook, and PowerPoint to perform administrative tasks and event coordination effectively. Requirements • At least 5 years of experience in a similar role, preferably within the professional services industry

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

• Experience using Adobe Acrobat and Concur

• Demonstrated administrative experience, including managing schedules, coordinating meetings, and maintaining files

• Proven experience in event coordination, from planning to execution

• Excellent communication skills, both written and verbal

• Ability to multitask and prioritize tasks effectively

• Strong organizational skills and attention to detail

• Demonstrated problem-solving skills

• Ability to work independently and as part of a team
