Phillips 66 Legal Administrative Assistant in Houston, Texas

The Legal Administrative Assistant reports to the Supervisor – Legal Operations, Legal Matter Management and Administrative Support Services, and is responsible for providing and coordinating administrative support to an assigned team of attorneys and paralegals in the Phillips 66 Legal Department.

The Legal Administrative Assistant is responsible for:

  • Managing attorney schedules and calendars.

  • Coordinating and facilitating conferences and meetings.

  • Coordinating and scheduling domestic and international travel arrangements.

  • Processing invoices and expense reports.

  • Preparing and revising legal correspondence, documents and forms.

  • Working closely with the Financial Services team to prepare and submit financial forms and associated documentation.

  • Communicating with internal clients and external resources via telephone, email or facsimile.

  • Filing of electronic documents.

  • Preparing, sorting and distributing mail, including all forms of special delivery.

  • Copying, scanning and printing documents.

  • Creating and inputting data into Passport, the Legal Matter Management system.

  • Assisting attorneys and paralegals with use of technology systems including Passport, video conferencing, electronic billing/invoicing and workflow systems.

  • Promoting the use of electronic documents/file systems and proper retention of documents according to corporate records retention schedules.

  • Support for maintenance of shared printers and supplies in work areas.

  • Other administrative duties as assigned by the supervisor and attorney work team.

Required Qualifications:

  • Legally authorized to work in the job posting

  • 3 or more years of experience as an Administrative Assistant.

  • High school diploma or GED.

  • Proficiency and knowledge in all Microsoft Office applications.

  • Proficiency in keyboarding (Minimum 65 words per minute).

Preferred Qualifications:

  • Knowledge of and experience with legal processes and terminology.

  • Understanding of and ability to process litigation and transactional documents.

  • Knowledge of basic contracts and agreements.

  • Understanding and adaptability to digital technology and its abilities.

  • Ability to successfully work and collaborate with a variety of position levels from peer groups to upper level management.

  • Must be flexible and willing to assist with a variety of administrative tasks.

  • Highly developed interpersonal skills.

  • Strong written and verbal communication skills.

  • Excellent organizational skills.

  • Strong focus on attention to detail.

  • Ability to prioritize multiple tasks and adapt quickly to change.

  • Ability to proactively problem-solve.

  • Appropriate use of good judgment and discretion.

  • Experience with Excel and PowerPoint is a plus.

  • Understanding and appreciation for working with highly sensitive and confidential information is a must.

  • Bachelor’s Degree.
