Position Description
The Executive Assistant will provide high-level confidential support to the Products Pipelines President and Leadership Team, as well as administrative support to the department in a prompt and efficient manner while maintaining a high level of accuracy.
Description of duties includes:
Provide various office services to assigned management and staff
Perform a wide range of administrative and general support duties of a highly responsible and confidential nature
Assist the department in the coordination and preparation of presentation material, primarily prepared in PowerPoint
Prepare and maintain tracking, reporting and other spreadsheets using Excel
Schedule appointments and arrange meetings
Review and coordinate schedules, expense reports, travel requests, vacation schedules, and maintain electronic time entry for department
Maintain and coordinate the personal and planning calendars
Coordinate hotel and conference room reservations for various meetings and/or training
Compose routine and non-routine correspondence
Effectively handle phone calls, visitors and mail distribution
Work accurately and productively with competing priorities and tight time constraints
Perform other duties as assigned
Job level will commensurate with experience
Position Requirements
Minimum Requirements:
A minimum of 5 years of administrative experience supporting more than one Executive
This key position must manage confidential and sensitive information appropriately with great attention to detail.
A high school diploma or equivalent is required
Progressive administrative experience in a fast-paced and detail-oriented office environment
Must be able to timely complete work in a prioritized and organized fashion
A self- starter with the ability to work with minimal supervision and organize, keep up to date, and effectively manage projects assigned or maintain up to date records that are on-going
Overtime may be required with little or no notice
Must be able to work with a team, take direction from staff, lead personnel, follow work rules, and adhere to established work schedules including vacation coordination
Must be flexible and adaptable to change
Administrative excellence including strong attention to detail coupled with the ability to identify and resolve issues/problems of varying complexity
Must have strong verbal and written communication skills to communicate with various audiences both internally and outside the organization; Discretion is critical.
Fully proficient in using Microsoft applications (Outlook, Word, Excel, PowerPoint); Word skillset must be at an intermediate to advanced level
Requires a high level of tact and integrity due to the frequency of senior-level internal and external contacts
Regular and predictable attendance is a requirement for this
Preferred Experience, Skills and Knowledge: Above the minimum requirements; not required but advantageous in this position:
College degree
A broad knowledge of corporate operations and policy, and high level of experience, discretion and technical skills
