DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONS

The Mayor's Office of Cultural Affairs has an exciting opportunity for an Administrative Associate to function as a liaison between the community and the city. The Administrative Associate will perform the following duties:

  • Strong multitasking which includes timely responses in a fast-paced division.

  • Maintains and creates content for social media accounts.

  • Prepares, revises and disseminates division rules, regulations, policies, procedures and other pertinent reference information.

  • Front-line communication to the community about cultural programs.

  • Performs administrative tasks related to the implementation of policies and procedures across the office.

  • Maintains contact list, compiles data and produces reports.

  • Composes and edits correspondence, speeches, etc.

  • Manages division sponsored activities and programs which include creative and financial responsibility – venue booking, vendors, exhibitions, invoice process, ordering supplies and generating reports.

  • Coordinates special projects and conducts field investigations to evaluate project processes.

  • Maintains strong relationships across City departments to facilitate division work.

  • Performs other duties as requested.

WORKING CONDITIONS

The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

MINIMUM REQUIREMENTS

EDUCATION REQUIREMENTS

Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.

EXPERIENCE REQUIREMENTS

No experience is required.

Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

PREFERENCES

Preferences shall also be given to applicants who have social media content creation experience.

Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
