Johnson & Johnson is recruiting for an Executive Administrative Assistant to join our Global Commercial Strategy Organization Immunology Team located in Horsham, PA. This position may require up to 25% travel to other J&J Sites (New Brunswick, Titusville, Raritan, or Spring House).

Per our J&J Flex Policy, the expectation for this position is to work in the office 3-4 days per week and work from home 1-2 days per week.

The Executive Assistant will provide senior level executive administrative support to the Worldwide Vice President (WWVP), Immunology, and the head of strategy and operations within the Global Commercial Strategic Organization, Janssen Global Services, LLC. This individual will establish and maintain the administrative systems, and manage day-to-day administrative tasks required to support the effectiveness and efficiency of this WWVP Executive.

The Executive Administrative Assistant will be responsible for:

  • actively managing the WWVP’s calendar, including all aspects associated with scheduling and planning meetings, the management of all related logistics (including scheduling and initiation of in-person meeting, zooms/video conferences, and hybrid interactions

  • arranging and managing logistics for GCSO wide events or meetings, GCSO IMM team meetings, help manage group meetings both in the US and outside the US (across multiple time zones),

  • partnering closely with the Executive Administrative Assistant of the Immunology R&D TA Head in supporting TA Leadership team and Immunology Portfolio Committee calendars, as well as team assistants in the Immunology Therapeutic Area

  • assisting in managing office/space plans.

  • demonstrating the discretion and experience in handling confidential and sensitive information, as well as the equanimity and judgement to proactively support the executive in calendar management and prioritization, helping find ways to preserve and focus calendar time on the WWVPs highest impact priorities for the team and enterprise.

  • filing and document file keeping, including proactively organizing and maintaining both hard copy and electronic files, including Sharepoint and “e-rooms”.

  • preparing expense reports, correspondence, memos, and related communications, including executive presentation documents.

  • acting as lead for the administrative assistants across the GCSO Immunology team

Qualifications

  • A minimum of a High School diploma; Associates or Bachelor Degree preferred.

  • At least 8 years of administrative or related experience is required.

  • Experience in an executive environment, supporting leaders and executives, is required.

  • Experience in systems is required to effectively handle PDM, Ariba, Sharepoint and OurSource, and Concur processes, or analogous systems (for external candidates).

  • Experience with making international and domestic travel arrangements, and coordinating on/offsite meetings (including LiveMeeting, TC and VC) are required

  • Excellent verbal and written communication skills, as well as facility with PowerPoint and MS Word and Excel, are required to properly draft and edit memorandums, correspondence and presentations and interface with senior leaders.

  • This position requires very strong organizational skills, exemplary customer service skills, ability to handle multiple tasks and priorities simultaneously, the ability to work well under time pressure, and the ability to work with independence and minimal supervision.

  • This position requires a demonstrated team player.

  • Must demonstrate excellent judgment and the ability to anticipate and solve problems proactively. S/He must always present her/himself in a professional manner; be detail-oriented, thorough and accurate and well organized.

This position is overtime eligible.
