Job Title: Finance Manager, Estates Management Team, Hong Kong

Job Type: 12-month contract / Full time

JOB SUMMARY

The role is responsible and accountable for reconciliation and reporting of property related costs in Hong Kong and Macau, including monthly reporting for IFRS 16, cash reconciliation, expenditure forecasting, budgeting via FRP process, deposits assurance checks and reporting; and to support the client's CS Hong Kong team to prepare, process and reconcile AR & AP transactions, prepare journal, prepare and maintain accurate and up-to-date trackers and reports for fund receipts, payments, and rent deposits.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Leads IFRS16 Meetings, liaises with finance counterparts from areas of various business including ASP region, WPB and Hong Kong in the market and in the region; reconciliation file verification and preparation, and forecast preparation.

  • Compares, understands and reports differences for cash contra reconciliation.

  • Prepares and submits monthly journals, including property tax, income reconciliation, deposit and cash actuals.

  • Assurance check of budget at a quarterly basis for Hong Kong and Macau.

  • Assurance check for deposits.

  • detailed understanding of corporate real estate accounting policies and treatments, including IFRS16 lease accounting policy.

  • Co-ordination with stakeholders to ensure accurate reporting from identified data sources.

  • Proactively review data and information, raising material variances or red flag indicators for misalignments.

  • Ownership of development and continuous quality enhancement of standard management report formats by seeking stakeholder feedback.

  • Develop working relationships with cross-functional teams to enable efficient information sharing.

  • Programme management of key deliverables and critical timelines to ensure timely deliverables.

  • Resolves payment variances by researching and gathering information about payment transactions, lease terms and other relevant items.

  • Calculates and processes rent payments, and all other lease related payments.

  • Tracks payables and receivables associated with the leases in portfolio. Processes client rent rolls utilizing the database. Prepares export files and sends to accounting for payables processing.

  • Prepares invoices for subtenants, reconciles subtenant accounts, reviews incoming invoices for errors/accuracy with lease document and ensures correct coding. Reviews profit center reports for accuracy.

  • Prepares and distributes periodic and ad hoc reports in a timely, accurate manner. Designs reports utilizing various report writers, Excel, Word, and/or Access. Reviews standard reports prepared by team members for accuracy.

  • Performs annual operating expense reconciliations, monitors audit windows and audit requirements contained in the lease documents.

  • Creates and maintains client lease files ensuring they contain current, accurate information.

  • Cross-checks and reviews work of peers to ensure quality and accuracy of data.

  • May provide and/or assist with budgeting and forecasting activities.

  • May conduct financial analysis/accounting as appropriate, including AR/AP, rent rolls, and budgets in accordance with required accounting principles (GAAP, Tax, Cash, etc.).

  • Financial records Management – create new log in, maintain an up to date parking list, manage pick up, delivery, and destruction of records.

  • Develop good working relationship with clients, landlords, other functions and supply partners

  • Performs other duties as assigned.

EDUCATION and EXPERIENCE

Bachelor degree in Accounting, Finance or Real Estate is required, plus a minimum of five years related work experience in property management, finance or accounting.

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information. English fluency. Cantonese language skill preferred.

FINANCIAL KNOWLEDGE

Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures and conduct financial/business analysis including the preparation of reports.

REASONING ABILITY

Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills. Financial analysis skills, accounting/ budgeting, sensitive to figures, driving Customer Service Levels, ability to comprehend, analyse and interpret complex financial data.

OTHER SKILLS and ABILITIES

Intermediate knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Ability to work well under pressure. Advanced organizational skills.

SCOPE OF RESPONSIBILITY

Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers, supervisor and clients.
