Description We are offering an opportunity for an Administrative Assistant in the education industry, specifically within a university setting. The role will be based in Holyoke, Massachusetts, 01040-1091, United States. This position offers a long-term contract employment opportunity.
Responsibilities:
• Facilitate front desk duties such as greeting students, faculty, staff, and visitors, managing phone and virtual communications, and creating a welcoming environment.
• Utilize various technological platforms to manage student information, register students for courses, schedule appointments for advisors, and other related tasks.
• Stay updated on college information, procedures, and protocols related to student service, and provide updates for marketing materials.
• Coordinate and maintain data for specific programs.
• Handle incoming mail and packages, ensuring they reach the appropriate individuals within the unit.
• Oversee the scheduling of conference rooms and ensure proper set-up for meetings and training sessions.
• Uphold strict confidentiality of all student records.
• Operate standard office machines and equipment, including photocopiers, central console telephone systems, and various digital tools.
• Represent the division at campus events and be available to work during evenings and weekends as required.
• Perform other duties as assigned by the Director of Advising Services. Requirements • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
• Experience in handling inbound and outbound calls
• Ability to deliver high-quality customer service
• Proficient in data entry tasks
• Capable of managing email correspondence professionally and promptly
• Experience in scheduling appointments effectively
• Excellent written and verbal communication skills
• Must be able to work independently and collaboratively within a team
• Strong organizational skills and attention to detail
• Ability to multitask and prioritize tasks efficiently
• Basic knowledge of administrative and clerical procedures
• High school diploma or equivalent required; further education or certifications in related fields are a plus.
