Southern Company Fleet Assistant in Hattiesburg, Mississippi
JOB SUMMARY: This position is responsible for providing support to Mississippi Power Company’s Fleet Services in the Hattiesburg and Meridian Vehicle Maintenace locations which will require travel between the locations. The successful candidate will, manage Fleet Maintenance System, Fleet Accounting activities, Fleet Contracts and assist in the management of Fleet Operations activities. Duties including but are not limited to the following:
JOB DUTIES AND RESPONSIBILITIES:
Provide PaySource support for the Fleet Service Dept
Provide Oracle support for Fleet business purchases to include parts, commercial and other non-contract fleet expenses (Includes iExpense)
Proficient in creating Purchase Requisitions for Fleet activities in Maximo to include writing, receiving, and reconciling
Proficient in operating and managing Fleet Maintenance Data System – includes reports, data entry, parts interface verification, preventive maintenance management and day-to-day work order activities. Ensure compliance to company policies and procedures and Federal, State and Local laws
Purchase and distribute all vehicle tags for MPC Fleet and develop and maintain working relationships at the State and Local levels
Fuel Card administrator – to include issuing fuel pins, replacement cards and transaction issues in the field
Manage Fleet Services oil lubricants to include ordering, stocking quantities and handling product issues
Administrator and subject matter expert for Spill Prevention Controls and Counter Measures
Maintain Fleet Facilities requests in Archibus System
Fleet Arcos Administrator
3E SDS Administrator – which includes auditing and maintaining inventory and providing subject matter expert support
Review invoices to ensure they are consistent with terms and conditions of the contracts
Verifying invoices are applied to the appropriate purchase orders, are using the approved/contracted rates, and have proper supporting documentation prior to invoice approval
Provide invoice reconciliation and problem-solving skills with Fleet Contract invoicing
Provide secondary support to Fleet Contract administrator
Compiling information for Fleet audits
Ability to strategically think, problem solve, and analyze to identify and deliver gaps within the Fleet contracts scope, invoices approval process and implement solutions
Develop and execute Fleet invoice approval processes
Manage supporting documentation to aid in Fleet Contract Administration
Manage fleet outsourced repairs to include invoicing, scheduling and other support
JOB REQUIREMENTS:
Education Requirements:
- High School diploma or equivalent required; college degree is desirable
Experience Requirements:
Fleet experience or equivalent business knowledge is desired
Maximo Purchase Order and Purchase Requisition knowledge is desired
Experience in Timekeeping in an industrial setting is desired
Knowledge of contracts – billing documentation requirements in an industrial setting is desired
Contractor invoicing/purchasing experience is a plus
Knowledge working with Southern Company (or working with a contractor working for Southern Company) is a plus
Experience working in a fast-paced environment is desired
Experience working with Contract Compliance is desired
Experience analyzing data and providing trends and reports is desired
Experience developing reports and presentations for management is desired
