CITY OF HASTINGS Administrative Assistant II in HASTINGS, Nebraska

Description of Work

Perform a variety of responsible, complex, and confidential office support activities for an assigned department or division to facilitate the efficient operation of the organization and provides information and assistance to the public.

Qualifications

Any combination of training, education and experience equivalent a high school diploma plus two years of clerical/administrative support, accounting, and computer experience. Additional specialized training in accounting or record keeping is desirable.

Essential Functions of the Job

The following tasks are typical for positions in this classification. Any single position may not perform all of these tasks and/or may perform similar related tasks not listed here:

  • Answer, screen and transfer inbound phone calls. Refer callers to appropriate City staff for further assistance as needed. Take and distribute messages and provide back-up materials for return calls. Initiate telephone contacts and speak and work effectively with those contacted in the course of work. Receive, screen, direct visitors and provide information within area of assignment.
  • Perform a wide variety of complex, responsible and confidential duties for immediate supervisor; compose and prepare letters, memorandums, bid specifications, travel reimbursement requests, news articles and other material as required by respective department; produce advertising or promotional materials as required; disseminate information as appropriate.
  • Coordinate work flow; schedule work to meet deadlines; keep projects on schedule.
  • Establish and maintain administrative files, records and other information to meet department needs, including the responsibility to adapt or improve the methods used.
  • Research, compile, analyze, and summarize data for special projects and various comprehensive reports; prepare or direct preparation of various administrative reports; process and check reports for accuracy; copy and distribute reports as required. May write grants related to assigned department.
  • Initiate, maintain and update accurate electronic and hard copy records and files pertaining to the area of assignment; research records for various information as requested; retrieve documents from filing system, copy and distribute as requested.
  • Receive and respond to questions, inquiries and requests from the general public and other departments; provide information on assigned operations and activities; relay messages and provide information on City policies and procedures as required
