Magnolia River is currently seeking an Administrative Assistant ! The Administrative Assistant will perform duties too varied and diverse to be classified in any specific office clerical occupation, requiring knowledge of office systems and procedures. Clerical duties may be assigned in accordance with the office procedures and may include a combination of answering calls, bookkeeping, typing or word processing, office machine operation, and filing.

This is a part time role working 25-30 hours per week.

Duties and Responsibilities:

  • Communicate with customers, employees, vendors, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.

  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.

  • Operate office machines, such as photocopiers and scanners, , voice mail systems, and personal computers.

  • Compute, record, and proofread data and other information, such as records or reports.

  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.

  • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail and packages.

  • Review files, records, and other documents to obtain information to respond to requests.

  • Deliver messages and run errands.

  • Maintain inventory and order materials, supplies, and services.

  • Complete work schedules, manage calendars, and arrange appointments.

  • Type, format, proofread, and edit correspondence and other documents as requested.

  • Troubleshoot problems involving office equipment, such as computer hardware and software.

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Excellent written and oral communication, project coordination, and interpersonal skills.

  • Attention to detail and high level of accuracy.

  • Ability to solve practical problems and deal with a variety of variables daily.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

  • Ability to rapidly establish creditability and relationships with a broad range of individuals.

  • Ability to change priorities quickly and multi-task.

Education and Experience:

  • High school diploma or the equivalent.

  • A minimum of six (6) months’ experience is preferred.

Physical Demands :

  • Duties are performed in an office environment.

  • Must be able to remain in a stationary position at least 50% of the time.

  • Consistently operate a computer and other office productivity machinery.

  • The person in this position frequently communicates with co-workers and vendors. Must be able to exchange accurate information.
