BrandSafway offers a competitive benefits package that includes medical, dental, vision, life and disability insurance along with a generous 401k plan. Salary range for this position is $60k - $85k annually. This range represents the anticipated low and high end of the salary for this position.
Key Responsibilities:
Manage our Branch/Area Administration team to deliver all necessary business administration tasks including but not limited to the following:
Billing
Payroll
Purchasing and Accounts Payable
Accounts Receivable/Cash Collection
Recruitment, hiring and onboarding Process
Customer Accounts Creation and Job Number/Setups
General Office Maintenance, Supplies & Working Environment
Work with other Area team members to ensure accurate and timely billing, consistent with the requirements of the customer;
Review and understand contracts. Ensure billing and customer pay applications are processed in accordance with the terms of the contract.
Design billing processes for new customers. Understand customer billing objectives and work to integrate into standard BrandSafway Processes.
Interact with customers to ensure their needs are met.
Manage custom interface programs between customer payable applications and BrandSafway billing applications.
Communicate effectively with Payroll & other managers to ensure billing is complete and accurate.
Review job costs to ensure all labor and rebill items are completely billed.
Develop expertise in client ERP systems as required to complete billing.
Continuously improve and streamline all Administration processes.
Perform cash collections to ensure accurate reconciliations, payments, cash applications, release of liens for review and notarization.
Provision of accurate timely payroll data.
Support monthly close by understanding, analyzing and communicating results, accruals & deferrals
Support all other Administration tasks and stand in for other team members as required.
Fulfill any other reasonable requests by direct line manager and their senior chain of command.
Qualifications:
Strong team player with a desire to learn & drive process improvement
Ability to meet deadlines with accuracy and confidence
Requires very strong verbal and written communication skills
Detailed oriented and very diligent
Must be able to travel occasionally (5%-10%)
Degree in business administration or commensurable work experience
Minimum 3 years of Office manager experience
Minimum 5 years of related business administration experience
Prefer 3 Years experience in the construction or industrial services industry
Strong working experience using Microsoft Outlook, Excel, Word and ERP systems.
Prefer experience of creating complex financial spreadsheets, and experience with pivot tables.
