Position Summary: The Administrative Support position provides Administrative Support to the Director of the Law Library and team lead in acquisitions of current materials. Serving as a member of the Law Library Team, the Library Assistant will maintain the Law Library Director’s calendar, provide announcements and updates to the library team, and service as the library receptionist. In alignment with Stetson’s Strategic Priorities , the Library Assistant will promote a people-centered, high-performing and relationship-rich culture of inclusive excellence.

Required Skills

Essential Job Functions and Responsibilities: Employment duties include, but are not limited to:

· Provides administrative support for the Law Library Director.

· Maintains Director’s calendar and announces library, librarian and staff meetings and activities.

· Serves as departmental receptionist and point of contact for guests and visitors in the office.

· Schedules appointments.

· Assists with correspondence, word processing, data entry, travel and conference arrangements.

· Assumes the lead in ordering current materials.

· Orders and track law library supplies.

· Places and tracks law library work orders and vendor service requests.

· Assists in staffing the circulation desk as necessary.

· Library collection and stacks maintenance including shelf-reading as needed.

· Assisting in ordering, checking in, processing, claiming, filing, binding, and printing labels as necessary.

· Assist with library room reservations.

· Maintenance of library office equipment including printers, copiers and microform reader/printers.

· Assist in receiving, sorting and processing incoming and outgoing campus mail, including the use of an automated postage meter machine, when needed.

· Assist in maintenance/revision of policy and procedure manuals.

· Maintains a collaborative work environment and works well with others.

· Other duties as assigned.

Required Experience

Required Knowledge, Skills, and Abilities: The knowledge, skills, and abilities for this role include:

  • MS Office (Word, Excel, Outlook)

  • Familiarity with use of online library databases preferred

  • Familiarity with use of office equipment including shredder, copier, printer, scanner, and microform reader/printers preferred

    Required Qualifications: This position requires:

  • High school diploma/GED required.

  • Minimum of one to three years’ experience required.

  • Should possess excellent written and verbal communication skills, as well as strong customer service skills.

  • Ability to work as a positive team player.

  • Good organization skills, flexibility, the ability to multi-task, sound judgment and a high level of interpersonal skills are required.

  • Must be detail-oriented with excellent follow-through.

  • Flexibility to work outside the normal assigned schedule when requested.

    Ideal Candidate Qualifications: The ideal candidate’s qualifications include:

  • AA/AS degree minimum strongly preferred.

  • Academic or public library experience preferred.

    Work Environment: Regular hours Monday-Friday, 8am-5pm. Work duties performed primarily in temperature-controlled environment; some customer interaction.
