This position is located in Guilford County in the Division Seven Office (Greensboro). This position will serve as the Division Office Receptionist and will answer a multi-line phone system for several administrative offices. This position will help maintain a professional and efficient office environment by providing administrative and clerical support to the Division Seven office staff. The primary responsibility of this position is answering incoming calls, determining the nature and urgency of those calls, and providing routine information to callers or directing calls to appropriate staff. This position is the primary point of contact for all office visitors. This position performs a wide variety of office and clerical duties to accomplish the processing of information, documents, and materials. Essential job duties include, but are not limited to, time entry, processing of invoices and damage claims, purchase orders, travel reimbursements, reviewing construction certified payrolls and filing. This position will operate a personal computer and use a variety of applications including, but not limited to, SAP, Beacon (FIORI), NeoGov, TIMS, SharePoint, Microsoft Word, and Excel. Position utilizes a variety of office machines including, but not limited to, printers, copiers, calculators, and shredders. Individual in this position must maintain a high degree of accuracy and multi-task in a fast-paced office.

Knowledge, Skills and Abilities / Competencies

  • Experience with Microsoft Office using programs such as Access, Word, and Excel

  • Experience completing and/or maintaining records and reports

  • Experience interpreting and/or explaining policies, procedures, and laws

  • Experience with letter writing, using correct spelling, punctuation and proofreading

Additional Expectations:

Effectively communicate technical knowledge with Engineers, coworkers, and the public. Good communication skills are required in both verbal and written activities. Possess general mathematical skills, significant vocabulary/grammar skills for proofreading correspondence, reports, and other documents. Ability to schedule and coordinate a variety of appointments, meetings, and or conferences. Applicant should be extremely computer literate and possess experience using modern word processing, spreadsheet, email, and internet software. Customer service experience (over telephone, personal, and electronic) is also strongly preferred. Candidates should possess excellent composition skills, attention to detail, and need for consistency with data entry and correspondence. Management prefers a candidate with customer service experience and a personable attitude. Must be able to work in an inside environment including being exposed to significant sitting for long periods of time. Must be able to lift 25 lbs. Ability to stoop and bend for filing purposes. Selected applicant will be expected to legally operate a motor vehicle.

Minimum Education and Experience High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
