ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management services for real-time, mission-critical defense systems. We are seeking a Project Support Specialist to provide Full-Time support to a NASA contract in Greenbelt, MD .

Job Summary:

Provide mid-senior level Project Support to the Climate and Radiation Laboratory of the Earth Sciences Division (Code 613) offices, centering onavariety of complex functions, including development of process improvements, development of improved tracking mechanisms, and training/mentoring of colleagues.

Responsibilities:

  • Complete critical analysis and review of formal document packages. All documents requiring signature will be reviewed for correct preparation and proper grammar before any needed signature(s) and further routing.

  • Create, maintain and update tracking electronic files, records, and data. Observe Records Management protocols (maintain pertinent records for required documentation).

  • Produce a variety of reports and tracks suspense actions, choosing from a range of software applications, (e.g., word processing, graphics, spreadsheet, and project management).

  • Produce a variety of reporting elements such as spreadsheets, graphical images, plans, procedures, memoranda, letters, and presentations from rough drafts.

  • Manages publication (STI and eDAA) documentation for ESD office materials, reports, and publications.

  • Compile and edit weekly highlight reports as well as weekly meeting notes.

  • Provide support, for on-site meetings (e.g., conference room reservations, visitor Center access, etc.).

  • Create and edit presentations as needed.

  • Ensure hybrid meetings properly utilize communication devices and systems.

  • Maintains accurate and timely office space data tracking, and report updates to management.

  • Collects, prepares, analyzes, and updates Office supply and facility repair requirements and expenses using Center systems such as AMMS and MOSI and spreadsheet tracking tools.

  • Works with Resource Analyst as needed to communicate expenses and costs to Laboratory personnel for software, equipment and associated shipment, and intern renumeration and IT resources.

  • Collects information on international travel itinerary and submits requests for international travel accordingly.

  • Issues monthly reminders about international travel plans so that IT loaner devices can be secured.

  • Assists personnel with obtaining, returning, and unsubscribing loaner IT devices in a timely manner.

  • Submits Risk-Based Waiver (RBW) requests for GFE IT equipment to be used during international travel and overseas field campaigns. Also submits DAR waiver requests for field campaign IT equipment as needed.

  • Serves as Property Custodian or assists existing Property Custodians. As property custodian, the Contractor administers and tracks the status of hardware, support equipment, and other Climate and Radiation Laboratory property as required.

  • Maintains equipment/property in the equipment property management systems, supports property inventories, obtains user signatures on equipment validation forms and tracks sensitive controlled property, excessing and disposal of equipment in accordance with applicable NASA and GSFC procedures.

  • Coordinates and prepares shipping documents (for controlled property) for government approval.

  • Assists in the preparation of Equipment Loan Documents as requested and obtain the appropriate signatures. Activities shall be completed within two days from request.

Requirements:

  • Knowledge of the GSFC systems such as AMMS, EUSO, IdMAX, MOSI, and STRIVES is desired.

  • Strong working knowledge of Office365, including SharePoint, Teams, Microsoft Word, Excel, PowerPoint, and Outlook.

  • Must have excellent oral, written, and interpersonal communication skills. Able to work with all levels.

  • Must have the ability to balance multiple priorities and respond/produce quality work efficiently with short deadline actions in a fast-paced environment.

  • The individual must also possess a strong sense of ethics, discretion, and professional sophistication.

  • Ability to communicate project status and issues to customers and leadership as they arise. May be responsible for taking direction from leadership and distributing information to team members, stakeholders, and leadership quickly and efficiently.

  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job.

Education and Experience:

Bachelor’s degree and 3-4 or more years of professional experience or 7-8 or more years of related experience in lieu of degree.
