Weld County Government Deputy Clerk to the Board in Greeley, Colorado

Description Perform a variety of complex duties and work requiring knowledge of technical terms and extensive use of independent judgment as Deputy Clerk to the Board.

$18.09 - $22.91 per hour plus benefits (see benefits tab on the job posting).

Prepare Agenda and corresponding documentation for public meetings; attend public meetings; operate audio recording system; take, transcribe, and complete formal summary minutes utilizing knowledge of technical terminology; review correspondence for accuracy and completeness; prepare and distribute Agendas and supporting documents for meeti

Operate a variety of office equipment, including personal computer with the Microsoft Suite and Adobe, as required. Assist in electronic scanning of all records, as assigned, verifying accuracy and completeness; and scan all current documents, as well as assist in the scanning of "old" documents. Maintain filing systems.

Set up meetings, confirm appointments and other arrangements as required.

Keep informed of new laws, ordinances, policies and procedures, and implement changes as directed.

Attest to signatures of Commissioners when necessary; act as Notary Public, i.e. warrants, legal documents.

Answer Weld County Switchboard, and provide reception coverage for Human Resources Receptionist, County Attorney's Paralegal, and Commissioner's Office Manager, as scheduled; answer complex and technical questions and complaints; refer highly technical questions and callers requiring further information to appropriate staff members.

May collect and account for fees or monies coming into the Department.

Perform complex related work as required; fill in for other positions in their absence.

Qualifications MINIMUM QUALIFICATIONS

Education:

High school diploma or equivalent with course work in office and business practices as required by the position. Two years of schooling beyond high school preferred.

Required Experience:

Two years experience in an increasingly responsible position in an office setting, or any equivalent combination of education and experience.

Requires experience in a position equivalent to a Deputy Clerk to the Board, having responsibility for establishing agendas for multiple Board meetings, and completing all associated paperwork without specific instructions. Skill in taking and transcribing meeting minutes; above average typing speed is expected, due to the number of documents that must be composed and completed daily. Demonstrate thorough knowledge and application of spelling, punctuation and grammar. Proficient in modern office and administrative practices, procedures, technical terminology; operation of a variety of office equipment; accounting/bookkeeping procedures, and filing techniques. Ability to exercise initiative and an extensive use of independent judgment; to communicate effectively, verbally and in writing; to establish and maintain effective working relationships with employees, professionals, other departments, agencies, and the public. Other Necessary Requirements Language Skills:

Ability to read and interpret documents such as safety rules, operating and main enance instructions, procedure manuals, Colorado Revised Statutes, and the Weld County Code. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to compose a variety of complex, formal documents, such as Resolutions, Ordinances, and Weld County Code amendments, according to specific actions of the Board of County Commissioners. Ability to compose formal minutes of each meeting attended and complete all necessary paperwork with minimal supervision and within very brief time limits.

Computer Skills:

Thorough knowledge of word processing systems is required to adequately process numerous documents in a relatively short time period, and to establish and implement new procedures arising from technological advances. Ability to learn the operation of the Clerk to the Board system for the electronic imaging of all official Board of County Commissioner records.
