Job Summary

The Manager, Advising & Retention, will provide leadership to both the Onboarding and Advising Departments, focusing on advising training and professional development, operational management, and assessment of student learning and satisfaction. This role will involve serving as a key collaborator to the division’s Business Analyst regarding the advising and retention components of the Navigate student success technology. The Manager will also act as a liaison across campus to ensure a holistic advising experience for new and returning students, encompassing academic, career, and transfer advising. Additionally, the Manager will provide leadership and oversight for the development of the College’s career exploration and transfer advising services. They will work with other departments to provide outreach programs to students, parents, and community organizations, as applicable.

Required Qualification(s)

  • Bachelor’s degree in psychology, education, communications, counseling or a related field is required with five (5) years of experience in student onboarding and/or advising functions or related area in an educational setting, preferably at the post-secondary level AND two (2) years of supervisory experience.

OR

  • Master’s degree in psychology, education, communications, counseling or a related field is required AND five (5) years of experience in student onboarding and/or advising functions or related area in an educational setting, preferably at the post-secondary level.

  • Demonstrated personal integrity, ability to form effective partnerships, ability to collaborate with others and work in a team environment.

  • Demonstrated high level of responsiveness to students or clients and the campus community.

  • Possess excellent organizational skills and the ability to manage multiple priorities with diligent attention to detail and accuracy.

  • Experience working independently, prioritizing workflow, solving problems and making decisions.

  • An effective and exceptionally skilled communicator, specifically as it relates to verbal, written communication, and active listening.

  • Ability to develop and deliver effective presentations online and in small and large group settings.

  • Proficient knowledge of technologies used in department (i.e. caseload management systems, student enterprise software, career exploration tools, MSOffice, etc.).

  • Ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; Demonstrated commitment to diversity, equity, and inclusiveness.

  • Ability to work flexible hours including some evening and weekend hours consistent with student needs.

    Desired Qualification(s)

  • Experience with caseload management.

  • Demonstrated knowledge of, and prior experience with, predictive analytics and proactive student intervention.

  • Experience working with community college, under-prepared, and/or underrepresented students.

  • Bilingual in Spanish and English.

Summary of Essential Functions

Strategic Leadership – 40%

  • Serve as an expert resource by being aware of and up to date on all content applying to onboarding and advising. This knowledge is consistent with, but not limited to; software knowledge, policies and procedures of all advising roles, as well as customer service skills, case management best practices and recruitment, retention, and completion initiatives; assist in developing and maintaining documentation regarding onboarding and advising processes, systems, and resources.

  • Conduct ongoing assessment of advising including training/professional development efforts, assessment of advising to determine and assist on efficiency, best practices, etc.; assessment of student feedback including development and conducting surveys, focus groups, etc.; conduct data analysis from Navigate technology System.

  • Provide values-driven leadership to build and contribute to high-performing teams that provide excellence in customer service through innovative, creative and collaborative practices to all units and campuses within the College, as well as the external community.

  • Implement the strategic plan, develop a collaborative, student-focused and community-focused culture, uphold policy and procedures, and build community relations as a collaborative partner on the Leadership Council and within a shared governance structure.

Support student and employee success by demonstrating a commitment to equity, inclusion, and respectful interactions with persons of diverse ethnic, cultural, socio-economic or educational backgrounds.

  • Assist in the development and implementation of goals and objectives for the Advising & Retention department.

Advising Operations Management – 30%

  • Lead efforts to provide onboarding, training and professional development for ASAs and CCNs, positioning them to understand and promote student support, development, persistence, and completion. Incorporate relational, conceptual and informational components of onboarding and advising in training and professional development. Implement strategies for CCN and ASA growth and development. This could include but is not limited to webinar participation, guest speaker event invites, etc.

  • Coordinate with Student Affairs, Educational Affairs, and Academic Divisions, including Faculty, who interface with onboarding and advising to ensure all advising professionals have up-to-date information related to these units and resources for students. Provide training and support to Faculty Advisors as needed; support the other Lead ASAs and Lead CCNs with the FOI Teams initiative.

  • Implement and manage career exploration and transfer initiatives; develop, coordinate and conduct in-class and out-of-class workshops and other events on educational, transfer, and career exploration and planning.

  • Coordinate enrollment initiatives of current and former students.

  • Assist with maintaining Onboarding and Advising service information on CLC’s website, Hub pages, and other departmental signage/messaging; monitor the general onboarding and advising email inboxes and take ownership of the Advising Tools and Resources Team site and the Canvas training site, continuing to develop and maintain content.

  • Perform Navigate technology duties including implementation and troubleshooting for onboarding and advising office staff; act as liaison to Business Analyst for additional support; generate data reports and analysis on the retention components of the Navigate technology system to monitor student success indicators.

Student Success – 15%

  • Provide onboarding and advising support to students when there is a CCN or ASA vacancy and during high traffic times using institutional and unit best practices.

  • Administer Career Coach assessment, review results, and develop action plans with students who are undecided about career or college goals.

  • Develop and facilitate transfer planning and career exploration workshops and other related student programming.

Personnel Management – 10%

  • Provide staff supervision, coordinate work assignments, and conduct evaluations of transfer staff.

  • Motivate and empower staff to perform at consistently high service levels. Define appropriate professional goals and accountability systems for staff. Develop evaluation system to hold staff professionally accountable for functions that support student success.

Other – 5%

  • Participate in strategic and/or functional cross-departmental teams, committee, and councils at the request of the division or unit leaders.

  • Participate in professional associations/organizations and educational activities that enhance subject matter expertise and leadership competencies, knowledge, understanding and interpersonal skills.

  • Perform any and all other duties assigned that support the mission, vision, values and strategic initiatives of the College and the goals of the department, division, and unit.
