General overview of responsibilities
The position provides administrative and clerical support for the Community Development Department and related Township boards, commissions, and committees. Work entails coordinating the processing of plan submissions, zoning and building permit applications, and the implementation of approved plans. The employee also answers requests for information and assists applicants in their understanding of the permitting and plan approvals process.
Administrative Assistant Responsibilities:
· Handle office tasks, such as filing and generating reports.
· Provide real-time scheduling support by booking appointments and preventing conflicts.
· Screen phone calls and routing callers to the appropriate party.
· Use computers to generate reports, and track changes in Google Drive for new and existing subdivisions and developments within Grantsville City.
· Greet and assist visitors. Maintain polite and professional communication via phone, email and mail.
· Anticipate the needs of others to ensure their seamless and positive experience.
· Maintain a filing system on both paper and electronically for new and existing subdivisions and developments.
· Accept applications for Conditional Use Permits (CUP's).
· Send out public notices for Planning & Zoning meetings and CUP's.
· Updating addresses of subdivisions and notifying US Postmaster, as well as Grantsville City Utilities and Public Works.
· Transcribe minutes and create packets for Planning & Zoning meetings.
· Attend various meetings throughout the month; including Planning & Zoning and Development Review Council (DRC) meetings. Some of these meetings occur after normal working hours.
· Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; verifying receipt of supplies.
· Back up Cemetery Clerk
· Knowledge of both City and State subdivision ordinances
· Experience with public speaking

Job Requirements:
· High school graduate or equivalent. Associate's Degree or higher preferred.
· Prior administrative assistant experience.
· Excellent computer skills.
· Excellent time management skills and ability to multi-task and prioritize work.
· Attention to detail and problem-solving skills.
· Excellent written and verbal communication skills.
· Strong organizational a nd planning skills.
· Desire to be proactive and create a positive experience for others.
