HR Collaborative LLC Office Manager in Grand Rapids, Michigan

We are seeking a full-time, onsite Office Manager, that will play a pivotal role in providing comprehensive administrative support to our organization. Your responsibilities will encompass office and facilities administration, coordination of both external and internal events, Board support, and meticulous record-keeping for prospect and client work. Key Responsibilities:

  1. Executive Assistance:
    • Provide administrative support to the executive team including managing schedules, mail, and travel arrangements.
    • Maintain HubSpot CRM, SharePoint, and other relevant documents and systems on behalf of the executives.
  2. Board of Directors Support:
    • Prepare meeting notices, agendas, and minutes.
    • Provide essential services to support the actions of the Kinexus HR Board.
  3. Office & Facilities Coordination:
    • Welcome and assist guests at the front desk.
    • Manage office and kitchen supplies, ensuring adequate inventory.
    • Coordinate office facilities services and vendor visits.
  4. Event & Culture Administration:
    • Coordinate Culture Committee meetings and initiatives to foster employee engagement.
    • Maintain the Events calendar and handle registrations for community and professional development events.
    • Assist in planning and executing internal company events, managing budgets and expenses.

Qualifications:

  • Associate's degree or equivalent work experience.
  • Minimum of one (1) year of administrative experience.
  • Human Resources experience is a plus.
