SUMMARY

This position is key to tracking, documenting and recording the US Department of Labor outcomes for the Strengthening Community College (SCC) technology career pathways grant. This position serves as the key technical staff member for the multiple systems used by the US Department of Labor, GRCC, and West Michigan Works to track data and record the progress of the grant work (non-financial). In addition, this position works to ensure non-financial grant documentation is recorded and tracked and trains new grant partners in the intake and tracking processes.

ESSENTIAL FUNCTIONS

• Coordinate, organize, maintain, and input data into various databases, enterprise systems and spreadsheets for the USDOL SCC4 grant. • Act as grant lead for the Grant tracking system and other software systems for gathering grant outcomes and participant information. Coordinate data and intake tracking activities with workforce partners. • Coordinate and ensure that USDOL outcomes are being tracked in accordance with the US DOL guidelines. Ensure that all partner organizations are inputting correct information. • Monitor, train and report on external grant partners in all 7 counties to ensure outcomes and back-up paperwork to support outcomes are being maintained according to US DOL circular guidelines. • Produce weekly, monthly and quarterly reports as required. • Contact and follow-up with grant participants to gather participant data and audit participant files. Immediately report any discrepancies to the SCC4 Grant Manager. • Build mailing lists and helping with technical set-up for mailings, e-mails and client management system. • Coordinate, write and maintain record of grant processes, policies, intake, follow-up and tracking technical materials, class curriculum documents as required by grant. • Assist with web pages, external communication software. • Coordinate school and non-profit visits to the MTEC or to technology program (employers, campus lab) sites. • Coordinate events to support the technology programs outreach activities of GRCC. • Regular attendance during normally scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position. • Other duties as assigned.

JOB SPECIFICATIONS

Education Credentials

• Associates degree preferred, high school diploma or equivalent required.

Work Experience

• 1-2 years' experience in higher education, technology field or workforce development required. • Previous customer service experience.
